Purchasing Card Help

The Purchasing Card program will provide departments and/or designated individuals with a MasterCard to make timely and efficient acquisitions of small dollar purchases. All charges are billed directly to the University.

This credit card is used much like a personal credit card, but it is intended for business use only and will have some restrictions.

You can get as many cards for your department as you need, subject to the approval of your dean or appointing officer.

The card can be used for most any small dollar purchases including but not limited to:

  • Membership dues
  • Supplies and equipment
  • Periodical subscriptions
  • Snacks for meetings
  • Printing
  • Promotional supplies

Standard spending limits:

  • $2,500 per transaction
  • 10 transactions per day
  • $10,000 per monthly billing period.

Limits are subject to approval of your dean or appointing officer.

No. Travel and entertainment expenses – including airfare, hotel, car rental, and restaurants – are restricted from being put on the card.

Items that are supported by GVSU cannot be bought using a purchasing card. Those items include but are not limited to the following:

  • Computers
  • Office furniture
  • Gift cards and gift certificates
  • Guns and ammunition
  • Payments to persons who perform services
