| What's Changing | Category | How It Is Now | How It Will Be In Workday (2026/2027 & Beyond) |
|---|---|---|---|
| Degree Requirements Review | Advising | Faculty, staff, and students use DegreeWorks/MyPath to review progress on degree requirements. MyPath displays separate blocks for General Education Requirements, University Requirements (including SWS), majors, minors, and other program requirements. |
Workday’s Academic Progress Report (APR) will be used to review progress on degree requirements. The APR will include one shared block for General Education and University Requirements (including SWS) and separate blocks for majors, minors, and other programs. |
| Advisor Workload | Advising | Advisors use MyPath to advise students, and the tools and processes are well known and established. |
With the move from MyPath to the Workday Academic Progress Report (APR), there will be an impact to advisor workload. For instance, the APR does not dynamically update as students register for additional courses, meaning that advisors will need to identify needed substitutions/changes and request them. |
| General Education Requirements | Advising | General Education requirements appear at the top of the screen in MyPath. |
With Workday, General Education requirements will appear below the major requirements on the Academic Progress Report (APR). |
| Student Support Networks | Advising | Advisor roles and naming conventions are limited by fields in Banner. In addition, the naming conventions may vary across departments and systems, which may lead to inconsistencies in how students identify and engage with their support network. |
With Workday we will have standardized advisor role naming across the university, creating a more consistent and transparent experience for students. Each role will be visible within Workday, improving accessibility and understanding of available support. There are four roles: Academic Advisor, Faculty Mentor, Program Support, and Student Support Network (SSN) Faculty Partner. See definitions and learn more here. |
| Academic Planning | Advising | Academic planning is not heavily utilized in myPath. |
Workday academic planning allows students and advisors to build plans for future semesters. Whether the student or advisor creates the plan, both the student and advisor will be able to view the plan. Students will be able to register directly from those plans. Data from academic plans also helps inform course planning for upcoming semesters. |
| What If Degree Planning | Advising | Students use What If functionality in MyPath to consider various routes to degree completion. |
Students will use the 'Evaluate Academic Progress Requirements' functionality in Workday to consider various routes to degree completion. |
| Financial Aid Award Calculations and Adjustments | Financial Aid, Student Accounts, Payments | Financial aid staff manually review reports and adjust aid to ensure compliance related to overall cost of attendance which can sometimes take several days to update. |
Workday will automatically adjust a student's cost of attendance based on the Attendance Plan and their actual costs. Award items will also auto update based on enrollment, program, residency, etc. Students will see the updates real-time rather than waiting days. |
| Student Billing Statement | Financial Aid, Student Accounts, Payments | Student billing statement is generated in Transact once a month and is a snapshot in time. |
Student billing statement is located in Workday and can be printed on demand by students. Additional tuition consolidation will help reduce confusion when these charges may be present for a student. |
| Dashboards | General | There are lists of links that function as dashboards in Banner. |
More robust dashboards are available for students, advisors, and faculty as a central place to access Workday activities and reports. The WDS project team is aiming to create a dashboard for academic administration (Deans/ADs, PSS, and Unit Heads). |
| Forms and Requests | General | Faculty and staff complete online forms to make certain requests. |
Some requests will be built directly into Workday including grade changes, requests to take a course with no letter grade, Satisfactory Academic Progress (SAP) appeals, in-state/out-of-state residency. |
| Communications | General | Many communications with students are manual or sent using a 3rd party software (EMMA or Argos, for example). |
Some communications will be automated including messages related to financial aid, payment reminders, and academic standing. These emails will include links to complete tasks in Workday. The email history is also stored within the student's Workday record. Third party communications systems may continue to be used as needed. |
| Cohorts (Student Attributes & Advisor Assignments) | General | Student attributes are entered in a centralized format by the Records Office or are maintained in isolated lists that are not directly integrated with Banner. Advisor assignments are conducted by a Banner workflow. |
Student attributes and advisor assignments are managed within Workday with cohorts. Certain Academic Affairs and Student Affairs staff will have the direct ability to manage cohorts and assign students to them. Learn more here. |
| Reports | General | Faculty and staff receive some automated reports and request ad hoc reports from various departments. |
The most common reports will be built into Workday screens and dashboards for greater visibility to real-time data. View common reports available in Workday. |
| Never Attended Record-Keeping | Grading and Instruction | Students who never attended a class receive an "F" grade with the first day of classes recorded as the late date attended. |
"Never Attended" grade option adds clarity for students who never attended class. Learn more here. |
| Instructional Formats | Grading and Instruction | Instructional formats are able to be custom created, and three custom ones were created in 2024/2025. Instructional formats are referred to as Schedule Types in Banner. |
Instructional formats are not configurable, and some of our custom ones will no longer be available. This mapping document shows our current instructional formats in Banner and what they will be in Workday. Instructional formats are referred to as Instructional Methods in Workday. |
| Course Sections | Records and Registration | Course section details are spread throughout multiple screens in Banner. Course section cancel notifications go only to students. |
Course section information is available in one place in Workday. Course section cancel notifications will go to students and advising centers. |
| Multi-level Coursework | Records and Registration | Students seeking to take courses at a level different from their primary program of study complete the dual-level form and are then administratively registered for the graduate-level course and that course would then live on a graduate-level record. From the student’s point of view, they will not see any changes to their academic record. |
Students seeking to take course at a level different from their primary program of study will continue to complete the dual level request form. The Registrar’s Office will create a new administrative application on the student’s behalf, so the student will see two academic records on under their Academics tab. The student will then either be administratively registered for the courses or they will be granted tokens to apply for the courses they want to take at the level that is different from the primary program of study. |
| Combined Degree Programs | Records and Registration | Students participating in a combined degree program apply to the graduate portion of their program in Slate for the semester after completion of their 12th graduate credit. This allows the student's tuition to remain at the undergraduate rate until their 12th graduate credit, but they are not included in graduate program reports. |
With Workday, students will apply to the graduate portion of their combined degree program in Slate for the semester in which they plan to take their first graduate credit. The student's tuition will continue to remain at the undergraduate rate until their 12th graduate credit, but they will be included in graduate program reports. |
| Student Demographics Self-Service | Records and Registration | Student data, such as citizenship, date of birth, and contact info is currently updated through the Records Office. |
Students will have the ability to use self-service in Workday to request updates to their information, including the ability to attach documentation. |
| Student Photos | Records and Registration | Student photos are available on a limited basis to faculty and staff. |
Student photos (from ID badges) will be visible to faculty and staff in student profiles, class rosters, and selected reports. There is also a feature to hear the name pronunciation. Student photos are not visible to other students. |
