Student Travel Support Request from COC
Use this form to request support from the College of Computing Dean’s Office for travel support for students presenting scholarly work, participating in academic conferences, or engaging in dissemination activities aligned with COC academic and research programs. Funding from the Dean’s Office should be requested only after all other University funding options have been explored.
Requirements
- Work must be supervised by a Grand Valley State University (GVSU) College of Computing faculty member.
- Supervising faculty approval is required prior to submission.
- Supervising faculty internal/external grant and startup funds must be used first, if available.
- The work should align with the student’s GVSU research activities.
- Conferences should be recognized and of appropriate academic quality.
- COC funding is intended as final-dollar support, covering costs only after all other GVSU funding options and conference support have been fully explored.
- Students are limited to one funded request per academic year.
Submission Requirements
Students must provide:
- Name of supervising faculty member
- Confirmation of supervising faculty approval
- Confirmation that supervising faculty has exhausted internal/external grants and startup funds
- Description of work and its relevance to the thesis (if applicable)
- Conference details (location, dates, type of presentation)
- Conference rank should be provided from https://portal.core.edu.au/conf-ranks
- Budget and funding sources
- Availability of remote presentation options
Review Criteria
Requests will be evaluated based on:
- Academic merit and relevance
- Conference quality and impact
- Budget justification and cost efficiency
- Student’s prior funding history
- Expected outcomes and benefits
Funding Guidelines
- Preference will be given to the first author presenting student, with oral presentations prioritized over poster presentations when determining support.
- Students are encouraged to first seek additional funding sources.
- $800 max for domestic and $1000 max for international conference is the limit from COC after exhausting all other GVSU resources.
- Partial funding may be awarded.
- Students must fill out an expense report. All purchases must adhere to GVSU's travel procedures.
- Students are expected to adhere to GVSU's Student Code. Failure to meet these requirements may result in loss of funding.
- GVSU complies with the IRS regulations on reimbursements. Please be sure to review the GVSU Travel Policy and Procedures.
- Note: Reimbursement is not immediate.
Compliance
- All work must comply with institutional and ethical guidelines.
- External collaborations must have appropriate approvals.
Post-Travel Requirements
Students may be required to:
- Submit a 300-500 words report or to create a 300-500 words article for the COC website or newsletter, summarizing the purpose of travel, research dissemination/networking activities and key outcomes. These may be shared in internal and external facing stories.
- Submit high resolution event photos (that are clear, sharp, and suitable for professional use such as websites, reports, and publications) showing student participation. At least one photo should include other participants in the background.
- Present their work internally in a research seminar
- Acknowledge GVSU COC support in presentations/reports
