Job Summary

Provide administrative and clerical support to the director and staff of the Regional Math & Science Center, performing office functions which substantially contribute to the unit’s objectives.

Essential Functions

1. Delivers high-quality customer service; greets visitors; and provides clerical support for the office (e.g., answering and routing phone calls, email, and mail; assisting with IT inventory and ordering supplies and equipment as needed).
2. Performs administrative work of a confidential nature, acts with a high degree of independence and as a liaison for the director and staff of the RMSC.
3. Maintains and updates files and record keeping systems.
4. Receives information and requests from diverse publics, both internal and external to the University and determines the appropriate way to address, meeting Center standards.
5. Disseminates information that may require explanation and interpretation of established university and departmental policies and procedures and directs individuals to sources of additional information.
6. Assists with hiring, training, and supervision of student workers.
7. Supports promotion and marketing efforts (e.g., preparing and editing newsletters, updating the website, designing program flyers).
8. Responsible for specific projects/programs as assigned by the Director or Assistant Director which may involve planning and coordinating work, analyzing data, preparing reports, making recommendations and other duties associated with the successful completion of a project/program.
9. Maintains center website(s) (e.g. RMSC/MSO Program).
10. Plays a key role in the planning and implementation of the annual regional Michigan Science Olympiad (MSO) tournament.
11. Provides support for the academic and administrative coordinator with the Integrated Science Program.
12. Coordinates programs, events, and outreach initiatives, including summer camps. Serves as a liaison for internal and external stakeholders, supports logistics and planning, and leads the recruitment, hiring, and onboarding of temporary staff, such as student employees and seasonal hires.
13. Manages large programs as needed, such as the STEM Mini-Grants for K-12 teachers through the MiSTEM Network Greater West Michigan Region or Mary Jane Dockeray Scholarship program.
14. Assists the MiSTEM Greater West Michigan Region program director on initiating business and finance processes via Workday to ensure smooth

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience to successfully organize and prioritize workload.
  • Demonstrated experience to successfully navigate challenging situations in the workplace, while using good judgement.
  • Demonstrated experience to successfully work under pressure and meet deadlines.

Preferred Qualifications

  • Bachelor’s degree or some college level courses.
  • Ability to coordinate multiple concurrent projects led by different staff members.
  • Program management experience.

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
