Job Summary
The Office Coordinator for the Consumers Energy Center on the Robert C. Pew Grand Rapids Campus plays a key role in ensuring seamless day-to-day operations and a welcoming experience for all guests and users of the space. This position also provides support to the Office of the President, including processing expenses and financial documents in Workday, providing front-desk coverage on the Allendale Campus during staff absences and collaboration on student supervision and guest hospitality. The role requires a high level of professionalism, organizational skill, and the ability to work collaboratively across departments.
Essential Functions:
Consumers Energy Center:
- Serve as the central point of contact and administrative support for the GVSU Consumers Energy Center and works collaboratively with other departments in the building.
- Provide warm and professional hospitality to guests, partners, and visitors in the building.
- Maintain supply inventory and proactively stock office supplies.
- Supervise and train student employees and coordinate schedules to ensure effective coverage in coordination with the Office of the President student supervisor.
- Collaborate closely with internal and external users of the space to support events and programming.
- Other duties as assigned.
President’s Office Support:
- Provide clerical support to various people and projects in the President’s Office (e.g. Director of Presidential Operations and the Presidential Fellows cohort).
- Provide on-site coverage during staff absences, including reception and guest services.
- Provide backup support for budget, finance, and procurement functions including processing financial transactions in Workday.
- Exercise discretion and professionalism in representing the Office of the President.
- Other duties as assigned.

Required Qualifications:
- High school graduate or equivalent.
- Minimum of three years of relevant work experience.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Demonstrated experience to successfully operate office equipment.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Ability to work under pressure and meet deadlines.
- Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
- Ability to successfully maintain positive intercultural and interpersonal relationships.
Preferred Qualifications:
- Some college course work.
- Higher education experience.
- Supervisory experience.
- Previous experience with Workday or similar platforms.
Supervision Received:
Receives general instruction from a designated supervisor but is generally expected to work independently.
Supervision Exercised:
Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
