Job Summary

Provides technical and clerical support and assistance to the R&I Librarians’ Suite and the Head of Liberal Arts Programs, Head of Instructional Services, Head of Collections and Scholarly Communications, and Liberal Arts librarians.

Essential Functions

  • Primary point of contact for Research and Instruction (R&I) faculty librarians located in the Mary Idema Pew Library and Learning Information Commons.
  • Performs receptionist duties such as receiving visitors, answering the telephone, taking messages, making appointments, arranging for meetings. Works with other PSS in the Librarians’ Suite to coordinate coverage of reception area/duties.
  • Answers or refers inquiries from students, faculty, staff, and the general public, and routes  requests for instruction to the appropriate liaison librarian.
  • Generates a variety of materials such as reports, memorandums, correspondence, forms, minutes from meetings including Knowledge Market assessment and instruction reports.
  • Schedules Bibliographic Instruction Labs.
  • Prepares reports which may require compiling and computing statistical data.
  • Maintains filing and/or database and records keeping system on paper and/or computer.
  • Assists in uploading documents to the Institutional Repository (IR).
  • Assists librarians in updating Subject Guides.
  • Other duties as assigned.

Non-Essential Functions

  • Receives, opens, and routes mail and may compose responses to standard inquiries.
  • Takes, transcribes, and posts departmental meeting notes.
  • Assists other members of the UL staff in coordinating special events.
  • Inventories and coordinates ordering of supplies.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of two years relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Ability to operate office equipment.
  • Data entry experience.
  • Typing and spelling competency.
  • Possess strong verbal and written communication skills.
  • Ability to provide quality customer service.
  • Ability to work under pressure and meet deadlines.
  • Ability to maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Some college course work.
  • Experience in higher education.

Supervision Received

Receives supervision and work assignments from a designated supervisor, although other staff members in the unit may provide work direction.

Supervision Exercised

May be responsible for the coordination of work assignments for student employees.
