Job Summary

Responsible for Facilities Services supplies, inventory and warehouse(s) functions; coordinates Facilities Services purchases.

Essential Functions:

  • Receives and processes order slips, inventory sheets, purchase orders, and similar materials according to departmental procedures.
  • Maintains appropriate stock levels and initiates the ordering process.
  • Verifies materials received against placed orders, reconciles discrepancies, traces materials or equipment en route and verifies delivery dates, initiates damage claims.
  • Codes materials with item numbers and pricing information.
  • Maintains records (computerized and paper) as required for inventory control; prepares standard and requested reports; provides analysis of data.
  • Issues tools, equipment, and supplies according to procedures; delivers such materials to work sites as necessary. May deliver materials to other storage locations on/off campus.
  • Fill order sheets for distribution to Facilities Services staff on campus.
  • Unloads and assists in unloading delivery vehicles in cooperation with the Material and Mail Handles stock intended for storage in stores, warehouse(s), tool crib areas.
  • Assists Facilities Services supervisors with procuring emergency supplies.
  • Monitors and reports on use of Supply Room card access system.
  • Responsible for the orderliness and cleanliness of the supply, warehouse(s), tool crib areas.
  • Supervise student employees.
  • Other related duties as assigned.

Non-Essential Functions:

  • Orders and issues Facilities Services employees’ uniforms.
  • Maintains, controls, and tags campus surplus items in store for redistribution and/or sale.
  • Recommends action to be taken based on analysis of information and university/department policies and procedures.
  • Coordinates Facilities Services purchases complying with the university’s purchasing policies and procedures and departmental guidelines.

Required Qualifications:

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Demonstrated experience to successfully operate office equipment.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Ability to work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications:

  • Warehouse experience with shipping and receiving.
  • Demonstrated experience to successfully perform mathematical calculations with speed and accuracy.
  • Demonstrated experience to successfully operate a Hi-Lo forklift and similar equipment.
  • Physical condition adequate for the performance of the duties (bending, lifting, climbing, moving heavy objects etc.).

Supervision Received:

Receives general instruction from a designated supervisor but is generally expected to work independently.

Supervision Exercised:

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
