Job Summary
The HR Administration Assistant aids in the processing of hiring employees, employment contracts, exempt and non-exempt pay, payroll process reviews, employment changes throughout the full employment lifecycle, maintaining databases, testing system upgrades, and/or performing other related activities. This position must perform work of a specialized and confidential nature, interpreting and understanding University policy in order to process HR administration activities in compliance with the law.
Essential Functions
- Work as a member of the team responsible for the processing of HR Administration functions for all employment groups (excluding students), completing work in a timely and accurate manner while providing outstanding customer service to the campus community.
- Administer payroll-related activities for all employment classifications (excluding students) including but not limited to activating new faculty and staff in the HRIS system, job reclassifications, contract renewals, termination and retirement processes.
- Provide outstanding customer service while responding to inquiries from faculty/staff and/or the general public over the phone, in person and via email regarding Human Resources administrative processes.
- Track and maintain faculty sabbaticals.
- Understand and process complex union contract agreements as it pertains to HR Administration.
- Assist with tracking and processing of all aspects of the pay for collective bargaining units on campus. Assist in the administration and customer support of the annual salary processing support functions related to fiscal year end processing.
- Assist in the preparation of materials for the GVSU Board of Trustees.
- Write, edit, run, compile, audit and verify reports related to employee data and analytics.
- Other related duties as assigned.

Required Qualifications
- High school graduate or equivalent.
- Minimum of four years of relevant work experience.
- Demonstrated administrative and organizational skills.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully coordinate large projects.
- Demonstrated experience to successfully handle multiple demands efficiently.

Preferred Qualifications
- Bachelor’s degree.
- HRIS/Workday experience.
- Payroll, and/or employment experience.
- Higher education experience.
Supervision Received
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
Supervision Exercised
Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
