Job Summary
This position provides administrative and operational support to the Assistant Vice President for Alternative, Prior, and Workforce Learning. This role also maintains a dotted-line reporting relationship with the Director of Adult Student Engagement and Support, assisting in key initiatives related to adult student services. This position is responsible for coordinating day-to-day administrative operations, managing departmental financial transactions, general office management, and will serve as a key point of contact for coordinating department initiatives.
Essential Functions
- Provide direct administrative support to the Assistant Vice President, including scheduling meetings, preparing reports, and managing correspondence.
- Assist the Director of Adult Student Engagement and Support with coordinating department-wide initiatives.
- Serve as a point of contact for internal and external inquiries, directing requests as appropriate.
- Process accounts receivable and accounts payable transactions, ensuring accuracy and compliance with university policies.
- Monitor and track departmental budgets, preparing financial reports as needed.
- Manage office supplies, equipment, and general facility needs for the department.
- Coordinate travel arrangements and expense reporting for department leadership.
- Provide logistical support for key initiatives that impact adult learners and workforce education.
- Assist with compiling data and reports to support decision-making and strategic planning efforts.
- Other duties as assigned.

Required Qualifications
- High school graduate or equivalent.
- Minimum of four years of relevant work experience.
- Demonstrated administrative and organizational skills.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully coordinate large projects.
- Demonstrated experience to successfully handle multiple demands efficiently.

Preferred Qualifications:
- Experience in higher education, workforce development, or adult student support services.
- Associate or bachelor’s degree in business administration, education, communications, or a related field.
Supervision Received
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
Supervision Exercised
Hire, train, supervise, schedule, and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
