Academic Conference Fund (ACF)
The Academic Conference Fund (ACF) helps undergraduate and graduate students attend academic or professional conferences where they are presenting, performing, or showcasing their work. Whether you're sharing research, creative projects, or professional ideas, the ACF can help cover some of the costs of travel and attendance.
To qualify, you must be listed as the primary presenter or performer on your conference acceptance letter.
Award Information
The purpose of these grants is to encourage student presentations at academic conferences by offsetting the cost of attendance. Awards of up to $600.00 (up to $800.00 for international travel) will be given to those invited to present or perform at a conference/meeting.
The ACF grants are divided into 4 allotments which are distributed equally over the fiscal year (July-September, October-December, January-March, April-June). Proposals that meet established guidelines and quality will be awarded on a first-come, first-served basis each quarter until funds are exhausted for the quarter. Funding eligibility is open to undergraduate or graduate students who meet the following criteria:
- Enrolled in a GVSU graduate program at the time of travel or halftime undergraduate student of Grand Valley State University at time of travel (6 credits for undergraduates)
- Is the primary presenter (listed first in the proof of acceptance) of research at a professional conference, or whose creative work is accepted for an exhibition or performance at a state, regional, or national competitive, juried event.
- Have written support from a GVSU faculty member who can attest to the quality of the work and the academic or professional value of the conference.
- Are in good academic, financial, and judicial standing with the University.
- Have obtained all required research compliance approvals (for example, human subjects or animal care protocols), that are applicable.
Applications must be submitted through the Center for Student Research and Scholarly Engagement’s online application system. A complete application includes:
- Completed applicant profile in the application system.
- Conference information (name, location, dates, sponsoring organization).
- Proof of acceptance to present or perform, indicating the student’s name, project title, format (paper, poster, performance, exhibition, etc.), and the conference or event name.
- A current résumé or curriculum vitae (CV).
- A faculty recommendation submitted by a GVSU faculty mentor or advisor.
Applications will not be reviewed until all required materials, including the faculty recommendation, have been received.
- Review the eligibility criteria and important dates to confirm that your conference and travel dates fall within an open quarter and that you can submit at least 30 days before travel.
- Access the Academic Conference Fund application through the Center for Student Research and Scholarly Engagement.
- Complete your applicant profile and provide all requested conference details.
- Upload your résumé or CV and proof of acceptance to present or perform.
- Identify a GVSU faculty member who will submit a recommendation and enter their GVSU email address correctly in the system, so the request is routed to them.
- Submit your application once all sections are complete and your faculty recommendation has been requested.
You will receive an email notification once a decision has been made. Please allow for 10 business days for processing.
All funded Graduate and Undergraduate students are expected to:
- Represent GVSU in a professional manner at the conference or event.
- Comply with all University policies related to travel, conduct, and research compliance.
- Acknowledge support from the Academic Conference Fund and the Center for Student Research and Experiential Learning in presentation or performance materials, when appropriate.
The use of generative artificial intelligence (AI) tools in ACF applications must align with University and OURS AI guidance on academic integrity.
- AI tools may assist with brainstorming, editing, or revising application materials, but may not replace your own analysis, critical thinking, or reflection.
- If AI tools are used in preparing your responses, you must clearly disclose that use within the application and indicate which portions of the text were significantly influenced by AI.
- You are responsible for the accuracy, originality, and quality of all submitted work, regardless of whether AI tools were used.
Failure to follow these expectations will be treated as a violation of academic integrity or research conduct policies.

Applications open by quarter based on the dates of the conference you plan to attend. Applications are due no later than 30 days before the first day of travel within the appropriate quarter. Students should allow at least 30 days for processing and reimbursement after all required post‑conference materials have been submitted.
We need to make sure you are being credited for your work. We can also accept something from the conference organizers that shows your name as a presenter, i.e. in the program, on the conference website, etc. Let us know if you have any questions about this.
Please allow 10 business days to review applications. You will be notified via email once the review is complete.
ACF applications need to be submitted, at a minimum, 30 days before the conference. We do allow students to submit a waiver of this rule via email ([email protected]) if circumstances prevented them from applying in time. The email should include justification for the waiver in the request, i.e., an explanation as to why the application would be submitted late.
If the ACF application system is not accepting your conference dates, it is likely because you are within 30 days of the first day of the conference. DO NOT fudge the dates to make it work. We do allow students to submit a waiver of the 30 Day rule via email ([email protected]) if circumstances prevented them from applying in time. The email should include justification for the waiver in the request, i.e., an explanation as to why the application would be submitted late. If your waiver request is approved, you will receive instructions on how to make your conference dates work in the system.
No; individuals receiving funds from the Academic Conference Fund may not also directly benefit from organization funding for the same trip provided to Registered Student Organizations through the Student Life Fund. No; if the student presenting at the conference is doing so as a class requirement, they are not eligible to receive funds.
Each student must have a cumulative grade point average (GPA) of a 2.000 or higher to be in good standing
No; participants are not eligible. Presenters who have proof of acceptance or an invitation to present at an academic conference or meeting are eligible to apply for ACF of G-ACF. Participants can receive funds through faculty-led APEF.
No; the ACF and APEF grants cannot be combined for further funding.
Yes; however, students can only receive one of each grant per fiscal year.
The application asks you to:
- Please describe the conference you will be attending (what organization is holding the conference, whether or not is it a scholarly venue, etc.) the particular section or panel in which your presentation has been accepted
- Please explain what contribution to the scholarly community your research or project will make (500 word minimum)
- Please give a short bibliography of the literature referenced in the presentation. Also, please describe scholarly dialogue to which you will contribute
- Please clearly describe and discuss your learning goals, including how this presentation relates to and advances your academic plans and intellectual development
The application asks faculty to write about:
- The student applicant's research and his/her ability to present, exhibit, or perform at a national convention or conference.
- The potential impact of attending such a conference on the applicant's academic and professional development.
- The ability of the student to appropriately represent Grand Valley State University at a local, region, nation, or international conference.
