Technology Access Made Easier with Streamlined Acquisition Process

The vision of Information Technology is to deliver seamless and secure technologies, empowering people to achieve more. Having heard from faculty and staff who frequently buy technology that the acquisition process was complicated, IT knew it was time to make changes to best serve the GVSU community.  

Together with Business and Finance and the Provost Office, IT developed an enhanced Technology Acquisition Policy. The Policy simplifies and makes ordering technology more flexible. Information Technology hardware, software, and computer-related components purchased or leased with university funds are included in this policy.  

The Policy eliminates barriers for items that don't require IT support or involvement and removes IT from the approval process where it isn’t needed. This streamlined process was developed with the University Technology Council's approval. 

Highlights from the Policy include:  

  • No longer does IT need to approve select technology purchases under $500 per unit or $1,000 total. Items that will continue to require approval from IT include computers, laptops, network-connected devices, local or cloud-based storage, tablets, peripherals, phones, printers, copiers, software that consumes/transmits/stores GVSU data, and technology-related service contracts. 

  • Technology reviews for requested hardware, software, and peripherals within two business days of a request being made.  

  • Hardware and software not approved in advance of purchase and/or lease will not be installed or supported by IT.

IT also maintains a technology inventory to meet the university's needs. This inventory includes desktops, laptops, monitors, and headsets.
