Event Services

The Event Services team is here to help you reserve meeting and conference rooms and book information tables in Russel H. Kirkhof Center.  We also reserve the Cook-DeWitt Center, Arboretum, and outdoor spaces near the Clock Tower.  Stop by (1110 Kirkhof), email ([email protected]), or call (616-331-2350), and let us help you plan your next event!

FAQ

WHERE CAN I REPLACE MY STUDENT ID?
Students can replace their lost student ID cards at the Cashiers' windows that are located on the first floor of the Student Services Building.

HOW OFTEN DOES THE BUS RUN ON A WEEKDAY?
On a fall/winter normal business weekday, the Laker Line runs every 15 minutes. The North and South Campus Express (37/48) run every 3-4 minutes. Additional information regarding the bus may be found on the GVSU Transportation Services page.

WHEN IS THE GRAND VALLEY POLICE DEPARTMENT OPEN?
The Grand Valley Police Department is open 24 hours a day and 7 days a week.

WHERE IS A FAX MACHINE AND HOW MUCH DOES IT COST?
There is a fax machine located in the Office of Student Life, 1110 Russel H. Kirkhof Center. This service is available for free.

WHERE IS COLOR PRINTING AVAILABLE FOR STUDENTS WHO ARE NOT MAJORING IN ART?
Students can have color printing done at the Allendale Copy Center (inside the Laker Store, lower level) for $0.25 per page. For more information on printing, visit the Information Technology printing information page.

HOW CAN I GET A REFUND IF A VENDING MACHINE TAKES MY MONEY?
In the event that a vending machine takes your money and does not dispense the product, students can ask for a refund at the Campus Dining Office (100 Commons), the Cashiers' windows (1st floor Student Services Building), or the 2020 Information Desk.

I LOST SOMETHING, WHERE CAN I CHECK?

Who can reserve space in the Kirkhof Center?
The Kirkhof Center is available for the campus community to host meetings, events, and gatherings. 

How do I make a reservation through Event Services?
There are four ways to make a reservation for space on the Allendale Campus; online, walk-in, call, or email. Go to the How To Make A Reservation tab for further details.

What is EMS?
EMS is the reservation system of record for Grand Valley State University. If you want to request space online go to the EMS WebApp How To's for directions on how to create an account and submit a request.

How far in advance can I reserve space?
GVSU campus departments can make reservations up to one year in advance.  Student Organizations may reserve space on a semester basis.

What kind of audio/visual equipment is available for use?
This is dependent upon the space you have reserved.  Microphones (podium, hand-held, and lavaliere), laptops, data projectors, sound equipment, etc. Please call (616) 331-2350 if you need assistance determining what is needed for your event. We ask that equipment requests to be made prior to the day of your event. 

Can I use my own caterer for my event?
No, Grand Valley State University is contracted with Aramark and they must be used for all events held on Grand Valley's campus.

Is alcohol service available in the Kirkhof Center?
Yes, the Kirkhof Center holds a liquor license for certain rooms in the building. Contact [email protected] for further details.

Who is responsible for providing decorations for the room?
Each customer is responsible for decorating the room that they are using. All decorations must be cleaned up after the event. No glitter or confetti may be used and candles must be in a fire safe container.

NOTE: The only adhesive that may be used is painter's tape, to help prevent damage to our facilities.

Where is parking available for the Kirkhof Center?
Parking is available in Lot H. Handicap parking is located in front of the Kirkhof Center. Refer to the Allendale Campus Map for locations.

Are parking permits required for the parking lots?
Yes, parking permits are required for all parking lots on Grand Valley's campus, except in the metered parking, on weekends, and after 6:30 p.m. on weekdays. Parking in the summer does not require a parking permit. If you require a parking option before 6:30 p.m. on weekdays, please coordinate with Event Services by calling (616) 331-2350.
