As a system, Workday enforces role-based security, which means that depending on your role as an employee (an individual contributor) or manager (someone with direct reports), you will have access to specific information and processes in Workday.

 

 

Basics

Workday’s security framework enables what a user can see and do within Workday. Users are assigned to security roles based upon the type of work they do. Different security roles receive different sets of permissions in Workday. It is important that employees at Grand Valley State University have the right security in Workday to view the appropriate information and do their jobs.

 


Security Roles

Security roles are system designations that determine access to specific information and processes in Workday depending on who you are.

Security roles are not job titles. They are assigned on the position and not the employee: all abilities will stay with the position and will not transfer should an employee change jobs. Security roles can be specific to supervisory organizations and cost centers, and employees can have multiple security roles based on the University and Business Unit needs. Security roles may require additional training depending on their level of access.


Security Permissions

Different security roles receive different sets of permissions in Workday. Examples of the types of permissions granted by security roles include:

  • View Only, including reports, profiles, and other informational screens
  • Initiation of business processes and tasks
  • Approval of business processes and tasks
  • Actions / To-Do’s
  • Delegations

Change Requests

In Workday, some security is automatic, and some is assigned. Proper security assignments are necessary to protect the sensitive data of employees at Grand Valley State University and ensure the correct and smooth routing of business processes.

There will be a process to request changes to security assignments for yourself or people you supervise if you believe they are not appropriate, including too much access or not enough.
