Privacy Settings

Workday displays employee profile information to the logged in user and other users depending on privacy settings.

Please visit the Getting Started with Workday page for additional training and resources.

Basics

Privacy can be set for some employee profile information as public or private.

  • Public: Limited employee profile information displayed to everyone with a valid login.
  • Private: Employee profile information that is not widely viewable by other users within the system.

Access to information in Workday also depends on security. Please review the Security info page for more information on Workday security.

Public Information

Workday displays limited employee profile information to everyone with a valid login. The information displayed includes name, photo, organization, employee type, business title, business location and other contact information that is marked “Public”. This is the same information you would find visible on contact cards in Outlook.

When you designate contact information as “Public” in Workday, this information is only visible to those who have access to the Workday system.

Private Information

The term “Private” is used within the Workday system in reference to employee profile information that is not widely viewable by other users within the system.

By default, personal contact information is marked private and will be visible only to you, your manager, GVSU HR professionals and other GVSU administrators. You can control what is displayed in Workday by changing your contact privacy settings.
