Transitioning Your Organization & Preparing for the Fall

With classes going online, and in person meetings / programs cancelled, now is a great time for student organization leaders to plan for their organization's future! 

Below are a list of suggested actions Executive Officers can take to set their organization up for success upon your return to campus in the fall.


Preparing for Fall

  • Hold elections for your new E-board officers. For more information about elections, visit our Elections, Campaigning, and Interviewing resource page. 
     
  • Create officer transition reports for new officers. What does each position do, what are important documents, passwords, account info, traditions, programs, etc. that they are in charge of. Centralize this all digitally via Google Docs! At this time, DO NOT pass physical documents around due to coronavirus concerns.
     
  • Centralize all of your organization's important documents, meeting minutes, budgets, bank account info, etc. into a Google Doc. 
     
  • Review your organization’s constitution & bylaws to ensure it reflects current practices. Ask yourself difficult hypothetical questions that could happen with your organization's daily business. How do we remove a member? How do we remove an officer? What if something goes wrong? Answer how you will deal with these problems in your constitution.  
     
  • Prepare for organization re-registration by cleaning up your roster on LakerLink. If you know a student graduated, it's probably time to remove them from your roster. 
     
  • Create or revisit your organization’s annual goals and timelines.
     
  • Survey your members and seek feedback. Collect ideas on things you can do better as a group, or new programs or initiatives you could be trying. You can create anonymous surveys utilizing Qualtrics (login using your GVSU network credentials), SurveyMonkey, or using Google Forms
     
  • Check in with your advisor to discuss any changes for next year and establish a communication plan.
     
  • Perform an audit of your organization's external bank account with the help of your advisor. Make sure all of your money is accounted for and being utilized correctly. 
     
  • Upload new photos to your LakerLink photo albums.
     
  • Check out our marketing resources and think through plans for promoting your organization’s fall events and initiatives.
     
  • Start building your budgets or your funding requests drafts for your programs next year.
