If you have a project that you would like the Promotions Office to do, please fill out a service request online or stop by our office in 0008 Kirkhof Center. We only accept jobs from on-campus organizations or departments. Personal projects may not be possible.

What We Offer

With all video projects, we want to set up an initial meeting with you to discuss the process, content, and expectations. Completing a service request will begin this process. Following that meeting we'll provide you a project overview and quote.

Photo Event Coverage
• Rate: $40/hour
• Pricing for events in Allendale - If downtown, a $25 travel fee will be applied
• Photos available 1-2 business days after event
• Link sent to contact for easy digital download

Photo Booth Package (includes photographer & backdrop)
• Rate: $50/hour
• Pricing for events in Allendale - If downtown, a $25 travel fee will be applied
• Photos available 1-2 business days after event
• Link sent to contact for easy digital download

Photo Backdrop Rental 
• Rates: $25/day
• Rental lasts 24 hours - Must pick-up & return during normal business hours (see bottom of page for times)
• Backdrop includes a blue GVSU Logo press pattern & subtle Laker Effect pattern
• Easy setup! Backdrop can be setup in less than 6 mins when completed by two people

Student Organization Headshots - Formal
• Rate: $100/hour (1 hour minimum)
• Photos taken with a professional lighting and backdrop
• Up to 35 individuals can get their photos taken per hour
• Photos available 1 week after session
• Services can be provided at our office (Kirkhof Center 0008) or a designated location (a $50 on location fee will be applied)

• Pricing for Allendale - If downtown, a $40 travel fee will be applied
• Digital retouching for $10/image

Student Organization Headshots - Informal
• Rate: $50/hour (1 hour minimum)
• Photos taken on location without backdrop
• Typically, taken around Allendale campus either indoor or outdoor - If downtown, a $25 travel fee will be applied
• Up to 20 individuals can get their photos taken per hour, if at the same location
• Photos available 1 week after session
• Link sent to contact for easy digital download
• Digital retouching for $10/image

Photo Event Coverage 
• Rate: $40/hour
• Pricing for events in Allendale - If downtown, a $25 travel fee will be applied
• Photos available 1-2 business days after event

Video Event Standard Package 
• Single camera setup with audio from a single microphone or provided press feed
• Event coverage for archival purposes
• Pricing for events in Allendale - If downtown, add $25 travel fee
• Al la Carte Options: Captioning, editing in presentation media, and DVD creation are available
• Media available two weeks after event via a downloadable video file
• Rates: $100 for first hour; $12.50 for additional 15-min each increments

Video Event Highlights Package
• Includes two-hours of event coverage (b-roll) which is edited into a thirty or sixty second highlight video
• Great for websites or social media to promote your event or program
• Pricing for events in Allendale - If downtown, add $25 travel fee
• Media available two business weeks after event via a downloadable video file
• Rate: $250

Video Event Live Stream Package
• Your event delivered through your YouTube or Facebook page
• All public live streams require captions per GVSU accessibility policy
• Full recordings of your event are made available 5 days following your event
• Additional planning is required prior to event
• Rate: Contact us for pricing!

Video Event Overflow Package
• One-hour of video displayed to additional overflow room adjacent to main event
• Single camera setup with audio from a single microphone or provided press feed
• This service is provided in collaboration of Event Services and available in the Kirkhof Center and Loutit Lecture Halls
• Additional planning is required prior to event
• Rate: Contact us for pricing!

Additional DVDs
• Rate: $5/each
• One complementary DVD is included in our packages. You can purchase additional copies. 

Include Presentation Media
• Rate: $30
• We'll edit in PowerPoint slides or other presentation aids into the presentation when appropriate.
• Make sure to send your PowerPoint, other digital media or links to [email protected].

Closed Captioning
• Rate: $1.25/min
• This is required for posting videos on YouTube. Varies on length of event.

VIDEO PRODUCTION POLICES

All new video projects begin with a client meeting in-person on over the phone to discuss relevant project details. We provide a quote and project overview following the meeting to review. We will begin working on the project once the appropriate approval is provided.

Once scripts, concepts, and other relevant project details are approved by the client, additional changes after that point from the client will result in additional fees.

Standard projects include a rough cut and fine cut for feedback from the client. After receiving feedback at this point, a third and final cut will be made. Beyond those three versions, there will be additional charges for further post production work on the project.

The Promotions Office and Grand Valley State University retain exclusive rights to any content developed.

A rush fee of $150 will be applied to projects that need to be completed within less than ten (10) business days.

We reserve the right to decline a request that is submitted late or for requests which are outside of our capacity to provide a quality service.
