If you have a project that you would like the Promotions Office to do, please fill out our request form online or stop by our office in 0008 Kirkhof Center. We only accept projects from registered student organizations, campus departments, and off-campus clients who have reserved space on-campus with Event Services or Conference and Event Planning. Personal projects may not be possible.

What We Offer
With all video projects, we want to set up an initial meeting with you to discuss the process, content, and expectations. Completing a service request will begin this process. Following that meeting we'll provide you a project overview and quote.
Photo Event Coverage
• Rate: $50/hour
• Pricing for events in Allendale - If downtown, a $25 travel fee will be applied
• Photos available 1-2 business days after event
• Link sent to contact for easy digital download
Photo Booth Package (includes photographer & backdrop)
• Rate: $50/hour
• Pricing for events in Allendale - If downtown, a $25 travel fee will be applied
• Photos available 1-2 business days after event
• Link sent to contact for easy digital download
Environmental Headshots
• Rate: $50/hour (1 hour minimum)
• Headshots taken on location without backdrop
• Services are provided on the Allendale Campus either outdoors or indoors
• Up to 30 individuals can get their photos taken per hour (estimated), if at same location
• Ideal for Student Organizations who want to provide their members with colorful headshots
• We can provide environmental headshots at a location of your choice on the Grand Rapids Campuses (or within 15 miles of Allendale Campus), add $25
• Light digital retouching for $15/image
Studio Headshots
• Rate: $100/hour (1 hour minimum)
• Headshots taken with professional lighting and backdrop
• Services are provided at our office (Kirkhof Center 0008)
• Up to 40 individuals can get their photos taken per hour (estimated)
• Photos available 1 week after session
• Link sent to main contact for easy digital download
• Ideal for Student Organizations or departments hosting professional development events who want to provide professional headshots
• We can provide studio headshots at a location of your choice: Allendale Campus, add $50 or Grand Rapids Campuses (or within 15 miles of Allendale Campus), add $100
• Light digital retouching available for $15/image
Note for faculty/staff: If you are looking for formal faculty/staff studio portraits, please contact University Communications to schedule a session.
Media Day Portrait Session
• Rate: $200/hour (1 hour minimum) and $50/additional hours
• Stylized portraits taken with professional lighting
• A pre-meeting is required at least 1 week before a scheduled shoot with one of our photographers to discuss your shoot
• Services are provided at our office (Kirkhof Center 0008)
• Photos available 1 week after session
• Link sent to main contact for easy digital download
• Ideal for sports teams
• We can provide studio headshots at a location of your choice: Allendale Campus, add $50 or Grand Rapids Campuses (or within 15 miles of Allendale Campus), add $100
• Light digital retouching available for $15/image
Photo Event Coverage
• Rate: $50/hour

Video Event Standard Package
• Single camera setup with audio from a single microphone or provided press feed
• Event coverage for archival purposes
• Pricing for events in Allendale - If downtown, add $25 travel fee
• Al la Carte Options: Captioning, editing in presentation media, and DVD creation are available
• Media available two weeks after event via a downloadable video file
• Rates: $100 for first hour; $12.50 for additional 15-min each increments
Video Event Highlights Package
• Includes two-hours of event coverage (b-roll) which is edited into a thirty or sixty second highlight video
• Great for websites or social media to promote your event or program
• Pricing for events in Allendale - If downtown, add $25 travel fee
• Media available two business weeks after event via a downloadable video file
• Rate: $250
Video Event Live Stream Package
• Your event delivered through Zoom or your YouTube
• Includes multi-camera setup with audio from a single microphone or provided press feed
• All public live streams via YouTube require captions per GVSU accessibility policy
• Full recordings of your event are made available 5 days following your event
• Additional planning is required prior to event

Additional DVDs
• Rate: $5/each
• One complementary DVD is included in our packages. You can purchase additional copies.
Include Presentation Media
• Rate: $30
• We'll edit in PowerPoint slides or other presentation aids into the presentation when appropriate.
• Make sure to send your PowerPoint, other digital media or links to [email protected].
Closed Captioning
• Rate: $1.25/min
• This is required for posting videos on YouTube. Varies on length of event.
Video Production Policies
- All new video production projects usually begin with a client meeting in-person on over the phone to discuss relevant project details. We provide a quote and project overview following the meeting to review. We will begin working on the project once the appropriate approval is provided.
- Once scripts, concepts, and other relevant project details are approved by the client, additional changes after that point from the client will result in additional fees.
- Standard projects include a rough cut and fine cut for feedback from the client. After receiving feedback at this point, a third and final cut will be made. Beyond these three versions, there maybe additional charges for further post production work on the project.
- Grand Valley State University retains exclusive rights to all produced content.
- A rush fee of $200 will be applied to projects that need to be completed within less than one calendar month. If you have a concern about this fee, please reach out and talk to one of our office managers.
- We reserve the right to decline a request that is submitted late or for requests which are outside of our capacity to provide a quality service.
