What's Changing with Submitting I-9 forms?

Current State

Staff completing an I-9 fill out section one on their own, and have a director, supervisor, manager, faculty, administrative staff, or Human Resources team member complete section two of their I-9. The I-9 form is then submitted to the Human Resources office.

Future State

Section two of an employee's I-9 form must completed by Human Resources. Section two can no longer be completed by directors, supervisors, managers, faculty, administrative staff or any other employee outside of HR.

Any new employee filling out an I-9 form must report to any of the following locations to complete section two:

  • Allendale Campus: Human Resources, 1090 Zumberge Hall (1090 JHZ)
  • Pew Grand Rapids Campus: Human Resources office, 315-1C DeVos Center (315-1C DEV)
    • If completing an I-9 downtown, we recommend scheduling a meeting through your HR Business Partner to ensure someone is available to assist.
  • Health Campus and Regional Locations: A trained representative will be available at all other GVSU locations. Please direct new employees to contact their HR Business Partner to identify the appropriate representative.
  • Remote: If an I-9 needs to be completed by a remote employee or if special accommodations are needed, there is a separate process. If this is the case, please direct new employees to contact their HR Business Partner.
