What's Changing with Onboarding?


Current State

New employees are hired through the PageUp system. They are invited to view their Onboarding Dashboard, where they can see a list of various steps to complete during their first few weeks. They also receive periodic emails reminding them to complete specific steps by their due dates. The new employee’s manager gets a set of “to-do” reminders sent to them as well.

Recently, much of the onboarding information has been transitioned from PageUp into a collection of e-learning modules, which will continue to be offered when Workday goes live.

Talent Management hosts semesterly, in-person orientation for new staff. A report is pulled outside of PageUp, and participants are invited via email. The FTLC hosts yearly orientation for faculty each fall. Orientations will not be affected by Workday.

Future State

New employees will be hired through Workday. They will have access to an Onboarding Dashboard that houses helpful resources, a custom message from their manager, and curated list of people of helpful people to meet. New employees will also need to complete various onboarding steps, but these will all be delivered in their Workday Inbox. Managers will be sent a set of “to-do” tasks delivered to their Workday Inbox.

Benefits

Many of the onboarding tasks can be completed in Workday itself (e.g. I-9s, direct deposit, tax deductions, and benefit elections), which eliminates the need for you to access a myriad of different systems.

Workday will deliver the full onboarding process to adjunct faculty/staff and temporary staff transitioning to regular full-time positions.


Potential Challenges

This is a novel system for everyone, so there will inevitably be growing pains during the first few months. 


Other Important Information

Managers (anyone with a direct report) MUST complete the onboarding setup template to trigger onboarding for new hire. This will be a task delivered to their inbox.
