What's Changing for Student Employees?


Current State

  • Payroll: Payroll and employment records are housed in Banner Finance.  
  • Recruiting/Hiring:
    • Student employees are currently recruited through Handshake.  
    • Their hire requests are submitted to Student Employment by managers through the Report a Hire form.   
  • Staffing: Changes are made to a student employee’s hours, and work location, are housed in Banner. 
  • Time Entry: Hourly student employees complete time entry (clock in) using UltraTime via physical time clocks or their computers.  

Future State

  • Payroll: Payroll and employment records are housed in Workday.
  • Recruiting/Hiring: 
    • Student positions will be posted in Workday. Handshake will have a link to the Workday Student Job Board. Students will log in to Workday with SSO. 
    • Managers will be entering job postings and hire information directly into Workday for Student Employment to approve. 
  • Staffing: Changes are made to a student employee’s hours, work location, etc. directly in Workday. 
  • Time Entry: Hourly student employees who currently clock in using a time clock will complete time entry (called Check-In) using tablet kiosks for dedicated departmental PCs. Students who currently enter their time manually in UltraTime will enter their hours manually in Workday.

  • No need to rehire at the start of each semester  
  • User fewer logins/systems 
  • Consolidated information 
  • Automated workflows 
  • If students look for job postings in Handshake, they will be redirected to Workday 

Potential Challenges

  • Time entry transition 
  • Managers will be entering job postings and hire information directly into Workday for Student Employment to approve. Departments may feel like they will be doing additional work, but they will essentially be entering the same data they currently send to Student Employment directly into Workday instead.

Other Important Information

  • Report a Hire CMS form will no longer be used 
  • I-9 form will be completed electronically. Identifying documents will still need to be presented in person 
  • UltraTime time clocks won’t be used anymore (time entry will be done in Workday) 
  • MyBanner won’t be used to view payslips anymore (payslips will be in Workday) 
  • Handshake won't be used to post on-campus jobs anymore (on-campus jobs will be posted in Workday). Handshake will still be used for off-campus jobs and internships.
