OA Equipment Reservation Request

This form is for requesting to reserve items from the Outdoor Adventures outdoor gear library. Borrowers must be current GVSU students, faculty or staff. Requests submitted with less than 2 business days notice may be denied. The inventory includes limited quantities of essential backpacking/ camping & climbing items. The form is designed to outfit a small group of people for up to about 2 weeks. Quantities listed represent the full-inventory and do not reflect current availability. Upon submission, a member of the OA staff will check quantities/ availability and typically reply within 24 hours.

Borrower Information





OA does not regularly staff the Ravines Center but with 2 business days advanced notice, Equipment can be reserved for any time the Mail & Package service is open. Generally, this is M-F 9 a.m.-6 p.m. and Sa 10 a.m.-2 p.m. For the most up-to-date hours, check the Mail & Package hours.


Please keep in mind when choosing a drop-off date that gear is expected to be returned in the condition rented (clean, dry & free of debris). We recommend allowing yourself an extra day or two to wash cookware and air-out tents, etc. Additional fees will apply for items that require care before returning to storage. Due to special laundering requirements of sleeping bags, OA will wash those upon their return.

Reservations are intended for relatively short-term use. Any durations longer than 2-weeks will be considered on a case-by-case basis.

















Tents & Tarps





Backpacks

Our backpacks have an adjustable torso system for a one-size-fits most selection. The men's specific style has a capacity of ~65+ Liters and the women's ~55+ Liters. Backpacks do not come with a rain cover.



Sleeping Bags and Pads


When selecting a bag, consider the temperature rating as a "survival" rating, NOT a "comfort" rating. Every person sleeps differently and there are many factors that affect your warmth in the bag including but not limited to: your metabolism, nutrition/ hydration, ground insulation, and what you're wearing.

Unfortunately, we don't have the full quantity listed in all temperature ratings, sizes & styles. We will reach out to discuss selecting the most appropriate bags should we not have what you request.

20 Degree bags will prompt you for a Filling Type (down or synthetic). All other temperature ratings are only available with synthetic filling.






Kitchen & Cooking

Cooksets:

  • 6-piece comes with 2 pots, 1 lid and 2 plastic plate/bowls and 2 cups
  • 4-piece comes with 2 pots, 1 pan (also works as a plate), & a pot-grip tool

Kitchen Set

  • 8"x6" cutting board, kitchen knife, dish scraper, small rag, plastic scoop and plastic spatula

Flatware 3-piece set

  • Fozzils folding plate, bowl, and cup

Stoves

  • Hiking style (single burner) comes with 1, 20oz bottle of liquid fuel per stove.
  • Car camping (double burner) comes with our fullest bottle of pressurized fuel. We can't guarantee it will be completely full. Additional bottles may be purchased at most big-box stores (meijer, target, walmart, etc.)

Borrower Agreement

Borrower Responsibilities and Expectations

There is no cost associated with checking out equipment for the agreed upon timeframe. However, fees may apply to the above named person (borrower) for failing to uphold the responsibilities and expectations outlined below. The borrower is responsible for the appropriate care and use of all rented items, regardless of whether or not they are the ones actually using the items. Failure to uphold the responsibilities below may result in fees and/ or being referred to the GVSU Office of Conduct and Conflict Resolution.

The borrower is responsible for...

  1. Inspecting equipment and documenting any damage or missing items prior to leaving the rental area. Equipment that is missing or returned with damage not documented at the time of pick-up and not deemed by the staff to have been caused by normal use may result in fees being applied equivalent to the GVSU cost for repair or replacement, as deemed appropriate by the RecWell professional staff.
  2. Returning all items on time. Items are expected to be returned on the agreed upon date. Unless arrangements have been made ahead of time with OA staff to adjust the return date, a late fee of $10 will be assessed. This is a flat fee per order, not per item. Items not returned after 7 days of the agreed upon drop-off date will be considered lost/ stolen. Borrowers will be responsible for full replacement cost of each item not returned. In the event that the original item is no longer available for purchase, one of similar make/ model may be substituted at the discretion of the RecWell professional staff.
  3. Returning all items clean, dry, free of debris and in the same functional state as when borrowed. Borrowers will be charged $10 for each item that requires staff attention before being returned to storage (e.g. drying/ cleaning wet tents). Borrowers are also responsible for paying all parts and labor costs for equipment returned with damage not documented at the time of pick-up and not deemed by OA staff to have been caused by normal use. If replacement is deemed necessary, the same make/ model will be purchased if available. Otherwise, a similar item will be substituted at the discretion of the RecWell professional staff. Cleaning fees do not apply to sleeping bags due to special laundering requirements.
  4. Being familiar with the appropriate use and operation of each item and ensuring each member of their group who may also be using OA equipment also has this knowledge.
  5. Paying invoices in a timely manner. OA defines this as a period of no more than 30 days of being sent an invoice or for graduating seniors, before graduation, whichever comes first.

Acknowledgement of Risk and Release of Liability

Outdoor and adventure-based activities are inherently dangerous and include possible injury and death due to misuse or malfunction of equipment.

For and in consideration of the opportunity to borrow equipment from the OA program, I release, acquit, and discharge forever on behalf of myself, my heirs, assigns and personal representatives, GVSU, its agents, officers, employees, successors, volunteers, and representatives from any and all liability, claims, or causes of action that result from my or my group's use of OA equipment.


By signing this form, I the undersigned, certify and acknowledge that I have read and agree to the above borrower responsibilities and expectations, acknowledgement of risk and release of liability.
