First Steps for Adjuncts

Getting Started

After the Movement Science Department Chair has offered you an adjunct professor position, here are the next "First Steps" in making you an adjunct faculty member at Grand Valley State University.  After the interview, the Department Unit Head will notify the CLAS Dean's Office of your hire and course assignment.  From there, the following steps and processes will take place to secure your position.

  • Unit Head obtains CV or resume, official transcripts, and copies of any pertinent certifications then sends the signed/completed Faculty Qualifications Assurance (FQA) form to the CLAS Dean’s Office.
  • Dean’s Office approves the FQA form.
  • A link to apply in Workday will be sent to you.
  • In Workday you will submit your CV or resume and all necessary information.
  • You will then get an email from GVSU saying "Thank you for Applying!"
  • You will receive an "offer letter" via email.  It is important to log back into your candidate profile and accept this offer to work.
  • You will be sent a background check via third-party Sterling email.  You must complete all the information requested.  The hiring process is halted here until the background check is passed.
  • After the background check is passed, you will be moved into “Completion” status, however this is perhaps a bit misleading.  This “completion” status does not mean you have been fully activated in Workday yet, but that it has been submitted to HR Admin to attach the payment itself to the job position.  This payment activation has its own separate approval process.  You will not be fully hired until after the payment has been fully approved. 
  • It is important to monitor your candidate profile in Workday as you will receive automatic messages along the way for each next step toward completion including providing more personal information for HR, accepting your appointment letter, tax withholding, direct deposit, etc.
  • You will receive communication to come to the Human Resources Office on campus, notarized Instructor Oath, Candidate Credential Summary Form, and complete your I-9 form.
  • When on campus to complete this visit to HR, it is a good day to stop by the Student Services Building and get your GVSU ID (you can ask in HR if they are able to do IDs).
  • Once all hiring forms have been received, HR and IT will create an employee identification number (G#), a network account, and a Blackboard account.
  • Academic Department Coordinators may assist new faculty with temporary Blackboard access while awaiting the receipt/processing of hiring forms if the timeline to start classes is tight. 
  • Instructions on how to request a parking permit are included with the appointment letter. A G# is required to request a parking permit and HR must inform parking services when your hiring is truly complete.
