Job Summary

This position provides administrative and operational support to the Talent Acquisition team to assist with recruiting and staffing strategies related to job postings, candidate communications, interview logistics, and applicant tracking activities that result in attracting a diverse pool of qualified talent for the university.

Essential Functions

  • Provide administrative support in the recruitment process, including posting jobs, maintaining applicant tracking systems, reviewing resumes and applications, administering appropriate assessments, scheduling interviews, and communicating with candidates.
  • Work closely with the Talent Acquisition Specialist(s), Business Partners, and Hiring Partners to format, post, and update job postings that are attractive to candidates and provide a realistic job preview.
  • At the direction of the Talent Acquisition Specialist, coordinate hiring activities, communication, and scheduling related to positions throughout the University with institutional departments throughout the hiring lifecycle.
  • Provide support to maintain talent pipelines for critical and recurring roles, track current and upcoming hiring needs, execute recruitment strategy, and assist in advancing recruitment efforts throughout the process.
  • Monitor applicant tracking system workflows to support timeline processing of requisitions. Alert the Talent Acquisition team of necessary actions for timely communication to candidates throughout the hiring process.
  • Conduct pre-screening phone interviews to verify required candidate qualifications for entry-level candidates.
  • Assist with logistics, scheduling, and materials preparation for hiring events, job fairs, and on-site interviews.
  • Daily review of new applicants per established protocols by the Talent Acquisition Specialist.
  • Perform other duties as required/assigned by leadership.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience to successfully organize and prioritize workload.
  • Demonstrated experience to successfully navigate challenging situations in the workplace, while using good judgement.
  • Demonstrated experience to successfully work under pressure and meet deadlines.

Preferred Qualifications

  • Experience in talent acquisition.
  • Experience with applicant tracking systems (ATS).

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
