Job Summary
This position is responsible for complex application and records processing, data integrity, quality assurance, and customer service, while also supporting the administration, maintenance, testing, and optimization of the Slate CRM and related admissions systems. This role functions as a lead resource within admissions operations by coordinating workflow, training student employees and support staff, monitoring automated and manual processes, resolving exceptions, and helping ensure accurate, timely, and policy compliant admissions operations.
As admissions technology and automation continue to evolve, including the use of tools such as OneOrigin AIRR for transcript processing support, this position increasingly supports systems operations, workflow management, exception handling, reporting, and process improvement.
Essential Functions
- Processes, reviews, and maintains undergraduate and graduate admission applications, records, and related documents from receipt through final disposition, ensuring accuracy, completeness, and timeliness.
- Monitors admissions workflows, processing queues, reports, and automated outputs to identify incomplete records, processing errors, duplicate records, document mismatches, and other exceptions, and takes corrective action or escalates issues as appropriate.
- Serves as a lead resource in admissions processing and systems operations, providing day-to-day guidance, training, and coordination for student employees and support staff engaged in admissions operations work.
- Supports the administration and daily use of Slate CRM for admissions operations, including query support, data validation, testing, user support, workflow monitoring, form and process troubleshooting, and quality assurance.
- Assists with building, maintaining, testing, and refining admissions related workflows, rules, forms, portals, communications, reports, dashboards, and business processes within Slate and related systems.
- Supports the integrity of data exchanged among Slate, Banner, OnBase, AIRR, and other related systems by monitoring results, reviewing discrepancies, validating outputs, and assisting with issue resolution.
- Monitors transcript and document workflows, including automated processes supported by AIRR, and manages exceptions, quality review, and follow up actions when automation results require human review or correction.
- Uses CRM, student information, document imaging, and reporting systems to process records, validate data, test system changes, support reporting, and maintain operational continuity.
- Conducts quality assurance reviews and audit checks to maintain the integrity of applicant data, decisions, communications, and records.
- Assists students, families, faculty, and staff by phone, email, and in person, providing accurate information, resolving issues, and completing transactions in accordance with institutional policy and service standards.
- Interprets and applies admissions policies, procedures, and regulations, including records confidentiality requirements, and refers exceptional or policy sensitive cases when appropriate.
- Creates, maintains, and updates process documentation, job aids, training materials, and procedural guides related to admissions processing and systems operations.
- Collaborates with Admissions and Recruitment, the Registrar’s Office, Information Technology, graduate admissions, and other campus partners to resolve operational issues, improve workflows, and support technology enabled admissions processes
- Keeps supervisor informed of operational issues, system risks, trends, and opportunities for improvement, and makes recommendations that strengthen efficiency, service, and data quality

Required Qualifications
- High school graduate or equivalent.
- Minimum of four years of relevant work experience.
- Demonstrated administrative and organizational skills.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully coordinate large projects.

Preferred Qualifications
- Bachelor’s degree.
- Higher education experience in admissions, enrollment management, registrar, or student records operations.
- Experience with Slate CRM.
- Experience with Banner, OnBase, SAS, AIRR, or comparable systems.
- Experience with admissions systems testing, workflow design, reporting, or data quality assurance.
- Experience supporting or administering automated processing tools or system integrations.
- Knowledge of FERPA and higher education records practices.
Supervision Received
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
Supervision Exercised
Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
