Job Summary

This position provides clerical support for the School of Interdisciplinary Studies, including primary responsibility for supporting program directors, overall administrative responsibility for SIS social media accounts, and serves as the primary administrative support for the course scheduling (in support of the unit head) for this large academic department with many academic majors and minors.

Essential Functions

  • Provides support for faculty program cluster directors, as assigned.
  • Primary support for the SIS unit head and program leads on annual course scheduling, including schedule/room changes and other updates.
  • Provides primary administrative support for the SIS social media accounts.
  • Provides support for unit (School) faculty as well as program coordinators, if applicable.
  • Generates flyers for events and courses to promote across university and share with students.
  • Compiles information for use by program director(s) and coordinators, where relevant.
  • Assists with event planning, including reserving rooms, catering, coordinating outreach, promotion, attendance and comment tracking, and making similar arrangements as needed.
  • Processes honorarium and expense reports.
  • Responsible for ordering office supplies, assistance with monitoring purchases in Workday and/or similar tracking for travel, expenses, and reimbursements.
  • Schedules program and/or advisory council meetings as applicable/needed, including helping with room reservations.
  • Assists with supervising, hiring, and training student employees.
  • Maintains School websites in CMS and related social media.
  • Supports student needs related to academic programs within the unit.
  • Assists with textbook and kindred orders for faculty.
  • Assists with outreach for programs and student recruitment events.
  • Works collaboratively with other Academic Program Coordinators as well as with the Lead Administrative Assistant to complete needed tasks on behalf of the School.
  • Performs other duties as assigned.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience to successfully organize and prioritize workload.
  • Demonstrated experience to successfully navigate challenging situations in the workplace, while using good judgement.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.

Preferred Qualifications

  • Professional experience working in higher education
  • Demonstrated experience to successfully use social media and web-based tools.
  • Demonstrated expertise in Microsoft Excel and other spreadsheet applications
  • Strong desire to learn and grow in position.

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
