Job Summary

Provides clerical support in the Records Office in the areas of Scanning/Imaging or Auditing.

Essential Functions

Auditing:

  • Reviews course catalogs to determine any changes to the curriculum of all Michigan colleges and universities.
  • Sends course descriptions to departments for review of new courses at those institutions or changes to already evaluated courses.
  • After review by the C-4 staff member in charge of this area, inputs needed changes to the automated Transfer Inventory System.
  • Loads transfer evaluations for students seeking to enter or already attending GVSU.
  • Works at the Student Assistance Center counter when needed assisting students with the variety of their needs.
  • Answers phones when needed.
  • Assists with mailings.
  • Performs other duties as assigned.

Scanning/Imaging:

  • Scans & indexes document images.
  • Prepares documents for scanning.
  • Monitors functions of the scanner and commitment to disk process.
  • Responsible for quality control of scanned documents.
  • Provides customer service work assisting students on the phone and in person.
  • Performs other duties as assigned.

Non-Essential Functions

  • Works at commencement.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of two years relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Ability to operate office equipment.
  • Data entry experience.
  • Typing and spelling competency.
  • Possess strong verbal and written communication skills.
  • Ability to provide quality customer service.
  • Ability to work under pressure and meet deadlines.
  • Ability to maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Some college coursework.
  • Experience in higher education.

Supervision Received

Receives supervision and work assignments from a designated supervisor, although other staff members in the unit may provide work direction.

Supervision Exercised

May be responsible for the coordination of work assignments for student employees.

Physical Demands
