Job Summary
Provide administrative and clerical support to staff, services, and programs designed to support the success of GVSU students. This includes office coordination, budget administration, staff support, assisting with the planning and implementation of student success programs, and supervision of students. This is a full-time, in-person position, located on the Allendale campus. This position requires discretion and a commitment to diversity and inclusion, as well as a student-centered customer service focus.
Essential Functions
- Provide administrative and clerical support for the Executive Director of Student Success, Exploratory Advising Center, and the First-Year Academic Experience including scheduling and supporting team meetings. Support the Senior Student Success Specialist with meeting scheduling.
- Manage front desk activities including answering telephones, managing calendars, assisting students with scheduling appointments via Navigate360 Software, and triaging academic questions which involves directing individuals to advisors and other sources of additional information as appropriate.
- Hire, train, supervise, schedule, and coordinate the work of front desk student employees.
- Promote a welcoming, friendly office environment.
- Provide excellent customer service to students, faculty, and staff.
- Maintain and organize departmental brochures, supplies, and general office needs
- Monitor and maintain internal budgeting for Student Success, Exploratory Advising Center, and First-Year Academic Experience including managing purchasing, travel, and reconciling monthly expenses in Workday. This may include grant budget(s).
- Provide administrative support for New Student Orientation, including processing payroll and teaching stipends for faculty involved New Student Orientation.
- Manage room reservations of both internal space and for programs, etc.
- Generate correspondence, presentation materials, spreadsheets, graphics, meeting materials, and other similar items using various computer systems.
- Assign advisors to students as a part of the major declaration process.
- Assist in communications to students as needed.
- Assist with coordination, promotion, and implementation of staff projects, workshops, and events.
- Assist with clerical duties associated with staff recruitment, selection and onboarding processes.
- Assist with design and maintenance of the departmental website, Blackboard site, and social media.
- Complete special projects and assignments as directed.
- Serve as departmental emergency coordinator including maintaining staff phone and emergency contact list.
- Other duties as assigned.

Required Qualifications
- High school graduate or equivalent.
- Minimum of four years of relevant work experience.
- Demonstrated administrative and organizational skills.
- Experience with various computer software applications such as Microsoft Office and/or equivalent.
- Data entry experience.
- Typing and spelling competency with grammar and proofreading skills.
- Possess strong verbal and written communication skills.
- Demonstrated experience to successfully provide quality customer service.
- Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
- Demonstrated experience to successfully coordinate large projects.
- Demonstrated experience to successfully handle multiple demands effectively.
- Demonstrated experience to successfully organize and prioritize workload.

Preferred Qualifications
- Bachelor’s degree.
- Higher education experience.
- Demonstrated experience successfully working with college students
- Supervisory experience.
- Demonstrated commitment to inclusion, diversity, equity, and access, including experience working with people from diverse backgrounds and identities.
- Proficiency in various computer software applications such as Microsoft Office and/or equivalent.
- Familiarity with EAB Navigate, Banner, and Workday.
Supervision Received
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.
Supervision Exercised
Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
