Job Summary

The Gift Processing Coordinator assists with the accurate recording and receipting of gifts to the university. This position has significant responsibilities in the areas of data entry, gift entry and donor stewardship that requires a good working relationship with the Gifts Assistant, members of University Development, and other university departments. The day-to-day requirements of this position will support a relationship that enhances the mission of University Development and Grand Valley State University.

Essential Functions:

  • Process gifts and pledges (cash, checks, securities, gifts-in-kind, credit cards, bank drafts, matching gifts, payroll deductions) from alumni, friends, corporations, foundations, and other constituents of the University based on current policies and procedures in coordination with the Gift Processing Assistant.
  • Responsible for keeping the gift receipt letter process accurate, timely, and on track.
  • Compiles Daily Cash Report for reconciliation with the university accounting system.
  • Receives gift information from diverse sources, researching to complete and verify missing details in preparation for data entry.
  • Provides customer service to donors with gift inquiries and follow up on donor problems where appropriate.
  • Disseminates information that may require explanation and interpretation of departmental policies and procedures to donors, faculty, staff, community members, and alumni.
  • Answers or refers inquiries from students, faculty, staff, and the general public regarding established policies and procedures; answer routine inquiries; and schedule appointments and meetings.
  • Maintains confidentiality of donor information.
  • Responsible for creating, maintaining, and updating files and record keeping systems; paper and/or computerized.
  • Share in clerical/administrative support for the Development Department including answering telephones and taking accurate messages for members of the department as needed.

Required Qualifications:

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Demonstrated experience to successfully operate office equipment.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Ability to work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications:

  • Some college course work
  • Experience in higher education
  • Broad-based knowledge of fundraising principles and techniques

Supervision Received:

Receives general instruction from a designated supervisor but is generally expected to work independently.

Supervision Exercised:

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
