Faculty Instructions for Reserving a CLAS Van.
CLAS Motorpool Vans are for CLAS faculty on a first-come, first-served basis and is a free service. Each van can transport up to fifteen people and can be used for day trips as well as extended travel. To get started, the faculty and the driver must complete the registered driver form and complete the driver training. Please read through the guidelines below and view our website.
Register with the CLAS Van Pool
- Become a registered driver by completing the on-line form found on the website CLAS Van Pool - College of Liberal Arts and Sciences Laboratory Operations and Resources - Grand Valley State University .
- GVSU public safety will check your driver’s background history and send determination notice to you
- If you fail the background check then you are given information on how to dispute it
- If you pass then we can move forward with the reservation arrangements after you watch the videotraining for 15 passenger vans, complete and pass the Van Motorpool test #14 in Blackboard, andcheck availability in the calendar for the dates and times you need a reservation.
- Registered drivers can find the Van Motorpool test #14 on Blackboard in the Environmental Health Organization section.
- All registered drivers must be 21 years of age or older
- Drivers must have a valid State of Michigan driver’s license
- Drivers must pass the background check done by GVSU public safety prior to driving a CLAS van
- Background checks expire every year on June 30 and must be re-run
- Drivers must watch the provided video about driving a 15-passenger cargo van and pass the VanMotorpool test #14 in Blackboard before driving a CLAS van
Making a Reservation
- Check availability for your dates and times in the calendar and email Heather Shenefield ([email protected]) for reservation assistance.
- An email confirmation will be sent to you prior to the day you will need to pick the van up. CLAS vans are parked in the KHS parking lot behind the KHS building in the parking spots with the signs that say,“Biology parking only”. The parking lot is called the GVSU MP lot.
Picking up your reserved van.
- The CLAS van keys are kept in a lock box located to the left of the elevator in the loading dock area of KHS 1141. (You will need a key card to access the space)
- Prior to leaving the parking lot, please do a walk around and make sure the van tires and body all look in good condition. This is a simple way to contribute to safety and accountability. If you notice anything, please email Heather Shenefield ([email protected]).
Returning from your trip
- After you complete your trip, please remove all the equipment that you brought on the trip.
- Send an email to Heather Shenefield ([email protected]) if gas is at ½ tank or less.
- Make sure you park the van and lock it up in the MP lot behind the KHS building in one of the parking spaces (marked “Biology parking only” if available).
- Remember to return the van key to the lock box in the loading dock area of KHS building.
- If you find something of value in the van that does not belong to anybody in your group, you can bring it into the loading dock area and leave a note with it on the table and email Heather Shenefield ([email protected]). She will take it to the biology office lost and found and then it will be turned over to Public Safety lost and found at the end of the semester.
Other Important Information
- Insurance and registration paperwork and a flashlight will be in the glove compartment.
- First aid kits will be kept up front between the passenger and driver seats of the vans.
- Snow brush and ice scraper will be kept behind the front two seats of the vans in the winter.
- EZ Pass toll readers are provided in all vans.
- Contact Aaron Perry at (616) 890-0434 or [email protected] on the weekend or after business hours regarding questions about access to the vans.
- Roadside assistance information is available in the glove compartment of the vans through the Merchant Fleet company #877-870-4999
- Departments are expected to pay for their own gas for overnight or long-distance travel and return the vans with a full tank of gas to the KHS parking lot.
