LAAN TSAR Committee Meeting Notes– 2/15/2023 (Zoom)
Present: Emily, Tom, Denise, Elizabeth, Paulie, Alyssa, Melanie and Michelle

1. Transfer Welcome Event Winter 2023
   1. Debrief
      • In person had a few more students than virtual
      • Virtual really small, students didn’t seem as engaged
      • Should we have one in fall and winter and just invite the most recent transfers?
        • Structure almost like a mini-transitions day
        • Pick the dates before TSARs start so advising centers can advertise at TSARs
      • Approximately 20 students total between the two events
   2. Survey
      • Emily will look at the past survey and recreate for this year
        • Ask for feedback, ways to advertise, if they could do one in each semester
        • Emily will send questions to the search committee before sending out to staff participants
2. TSAR Registration Dates in Slate
   1. No issues, most offices have at least some of their dates posted
   2. LAAN TSAR site updated

1. Next Project
   1. Transfer guides
      • Some offices do these more heavily than others
      • Preferably updated by fall
      • Admissions possibly working to make a more formal plan for these and due dates
   2. Pre and Post TSAR common documents
      • Creating “check in” and “check out” documents
        • Should we mimic the FYAR system for a check out process?
          1. evaluate the FYAR check out form to see what would be needed for transfers
          2. Do we use this form or start from scratch?
          3. Likely wouldn’t need as much information since students are typically working with an advisor in their major for TSAR
        • Want to make sure transfer students still have something to take home with them
        • Should have each of us look at what our office does for the pre-TSAR documents/prep work
          1. Need to know what kinds of things each center needs on these documents
        • Everyone please look at what your office uses/needs for post TSAR before our next meeting
          1. Emily will check in with Brooks, Seidman, PCEC, Adult and Continuing ED (Kate and Jackie) on post TSAR documents

        • Asking committee to arrive 30-60 minutes early, if possible
      • Emily, Michelle, and Denise will triage the main zoom room for virtual session
      • Email invite has gone out to students
        • Emily will send out a reminder on Monday using Mike’s list
        • Emily will send out a final reminder on Thursday morning about the virtual session
      • Reminder emails have been sent to staff attending
      • Emily will work on a survey for both students and staff

LAAN TSAR Committee Meeting Agenda – 1/5/2023 (Zoom)
Present: Emily, Tom, Denise, Elizabeth, Paulie, Shawn, Alyssa, and Michelle

1. Updates from Admissions (Mike E)
   1. Mike is on an orientation committee which reviews TSAR and FYAR
   2. Slate:
      • Everyone will have access
        • Certain advisors/PSS will have more access/permissions to load dates
          1. Mike will contact directors to get these names
      • March dates will still likely be released in early February
      • New hire working with transfer processes
      • Training
        • Mainly for those with additional access/permissions
        • Hoping to have 2-3 training sessions in January
          1. Mike will send these out in the next few days
   3. FYAR schedule/planning:
      • Moving to a 30 FYAR date schedule for summer
      • 4 days a week Monday-Thursday or Tuesday-Friday (snake draft style setting up the weeks to give breaks)
      • Holding two July and two August days (keeping private for late admits) for an as-needed basis
      • Approximately 180 students per day
      • Goal is to scale back some of the advising during the day and bring in more orientation information/activities
      • Pre-modules
        • Students will complete prior to their session
        • Will cover information usually covered in the small group portion
      • Approximately 2.5 hours in the morning for advising/orientation
        • Advisors there in the morning
        • Likely only a few advisors needed in the afternoon for answering questions
          1. Hopefully this will free up some afternoon time for TSARs
      • Possibly using Henry Hall instead of Manitou
      • Students will meet up with supporters and have lunch together
      • Sessions for students and supporters in the afternoon
        • Hoping to have some sessions for specific populations (first gen?)
      • End afternoon with a celebratory event
      • Other departments available at the end
      • Dates are set
        • May and June
        • All in person
      • Admissions goal of 5,000 incoming freshmen class
      • Transitions will be very different, no longer called Transitions
      • Post-orientation modules
2. Transfer Welcome Event Winter 2023

      • Mike will get us a list of students admitted since winter 2022
        • List will include name, preferred email, GV email
        • Will get list to us by January 17
      • Budget
        • Approximately $500 from LAAN to use for food and/or bookstore giveaways
        • Should be able to use catering for snacks/beverages at the cost of approximately $140
          1. Emily will check with Brian on how to pay for this since LAAN is paying
      • Departmental representatives
        • Have only gotten reps from 5 departments so far
          1. Emily will send a reminder to departments asking for reps
          2. Emily will send reminders to reps attending with more details (including asking to bring tablecloths/swag for in person session) as sessions get closer

      • One in person, one virtual session
      • Maybe move 7-8pm virtual session to 6-7
      • Emily will check on our budget
      • Michelle suggested using Slate to advertise
        • Include students admitted since last TSAR event
        • Maybe invite students admitted for spring/summer and fall 2023, as well
          1. Include/invite Mike E and admissions on this
      • Shawn will bring this to SEMP for their feedback, too
      • Maybe make it a combination of scripted and open house style
        • Have departments present for 5-10 minutes each, then the last 30 minutes of event be more open
          1. Students can go talk to advising centers or other departments in more detail
        • Advertise as very “come and go” so students know they don’t have to be there right at the start
        • Have LAAN TSAR Committee members directing students
      • Emily will connect with welcome event committee to get the process started

1. TSAR Admissions Email Communication templates (need by 11/30/22)
   1. Confirmation email of TSAR appointment
      • Will go out to the email in the registration form immediately after making appointment
        • Will be automated
   2. Reminder (when should this be sent 2, 4, 6 hours before?)
      • 48 hours in advance
   3. Text reminder – 1 hour before
      • Will be universal
      • Include date, time, location
   4. TSAR Registration site
      • In Slate
      • Slate will pull students’ information
        • Institution, contact
      • Site does break out different areas of majors
        • IE: if a student selects PT, the common PT majors will show up; teaching will be marked separately
      • Advising Centers will be able to input their own dates
      • MTA question is prompted only if student has coursework from a Michigan institution
      • Current institution/courses not automatically on the registration form
        • Michelle is working with Jared (who develops Slate for us) to add that
        • Unsure how to capture if a student has coursework from an institution, but it’s not in Slate yet
      • Michelle will check:
        • If we can change a session from in person to virtual or vice versa
        • Cut off time for registering for a TSAR
          1. 72 hours prior
        • If students’ personal emails will be used for the automated emails
        • How many characters allowed in the text reminder
      • Michelle will send us the current templates and ask for feedback from the committee by the end of the week
