Hello everyone, in this video I will be showing you as a faculty how to approve or deny a student's test requests or final exam requests using our accommodate system. Usually when a student submits a test request with the Student Accessibility Resources office, as a faculty, you'd receive an e-mail.
0:00:21.876,0:00:40.756
Within that e-mail there will be a link to the system which you can click on that takes you directly to the system where you can make the approval or the denial. However, in this video I will be showing you how to access the students request from our website. From the
0:00:41.696,0:00:56.146
Student Accessibility Resources page navigates the SAR faculty portal. From the faculty portal, you have different options under the quick link. Scroll down and click on the view.
0:00:57.206,0:00:58.536
Students test requests.
0:01:00.882,0:01:03.797
You would be taken to a new tab where you would have.
0:01:03.847,0:01:11.737
To select if you're a faculty or a student. As a faculty, you would click the faculty option. When you click faculty,
0:01:12.457,0:01:28.527
You'll be required to sign in with your login credentials, after which the homepage would be displayed. Your homepage may be different from this, which is totally normal. From the homepage you click on the courses and test requests.
0:01:29.987,0:01:35.527
This will bring you to the course details page where you would see all your courses.
0:01:36.177,0:01:39.307
And then, you'll first of all select your course.
0:01:40.057,0:01:44.767
So, when you select your course, you would see the course details page, test request and the exam.
0:01:45.387,0:01:50.337
You'd click test Requests to view the test requests that have been submitted by your students.
0:01:51.097,0:02:10.927
By default, it shows you the "not yet scheduled" test requests. Under the "not yet scheduled" test request, you would see test request of your students that have been submitted. Click on your student's test request and fill in the information. So, the first thing you have is to determine if the test request
0:02:11.307,0:02:20.317
Is approved or denied. Based on the selected option, you would need to provide additional information. To deny the test
0:02:21.177,0:02:35.747
Request, you'd click no and then be required to give us some information why you're denying the test requests. Once you do that, you'd click on save and the test request is denied. The students would gets an e-mail automatically.
0:02:44.247,0:02:50.657
Once you save it, the test request is denied and as you can see that the test request has been denied.
0:02:54.057,0:02:55.047
However.
0:02:55.817,0:03:02.187
If you want to approve it, so I'm just going back to that same test request, if you want to approve it, you'd click on testing request.
0:03:02.837,0:03:07.107
Approved and then once you click on approved you need to go through the.
0:03:08.447,0:03:23.797
Requests. As a faculty, you can directly upload the exam from here and we would be able to see it on our end as Student Accessibility Resource officers. So you can click on upload new exam, you would give the exam a title, let's say the midterm.
0:03:24.787,0:03:45.187
Is it final exam yes or no? So let's say no and then you want to put how long are you giving? So basically how many minutes are you giving the class to take this test? Now this information is useful or required by our office so that we can be able to determine how many additional minutes the student will need based on their accommodation. So let's assume.
0:03:45.237,0:03:51.947
This is a one-hour test for the class and then once you've selected the duration you upload the file.
0:03:53.277,0:03:55.427
So, I'm just going to upload this file.
0:03:56.237,0:04:11.917
So, once I upload it, then you enter the start and end dates. Now this is very important for us because it's possible that you have several students that are taking the same test at different times, right? And so, the system is going to match this
0:04:12.537,0:04:24.087
Exam instruction with the test requests based on the start date and end date. So let's say I want the students to be able to take the uploaded exam between now and this time then.
0:04:25.567,0:04:42.737
Any test request that is submitted by your student within this time frame would automatically use the uploaded exam, so you would not need to repeat the upload process. Also you can specify the approved aid. What do you want the student to be able to use ? do you want them to be able to use a calculator, math formula or whatever dependent on the exam.
0:04:43.627,0:04:46.617
And then once that is done, you click save.
0:04:49.997,0:04:56.087
You click submit requests. Alright, so I have submitted the exam.
0:04:58.297,0:05:00.307
So, the SAR team will be able to see the uploaded exam and would be able to administer the exam to the student.
0:05:01.857,0:05:22.437
Now, under the student requested resources, you will see the resources the student is requesting for the exam. Fortunately, I'm not requesting for anything from my faculty, but if the student requested for other resources, you would see it on the screen and usually we need you to review these resources and acknowledge that you have reviewed them and you approve them. Now once that is done, you need to.
0:05:22.487,0:05:43.547
Tell us how do you want to upload? How do you want the exam to be delivered? How are you going to deliver the exam to SAR? Are you going to upload the exam in Accommodate? Are you going to e-mail it to us? Are you going to deliver it to the office or will it be administered through blackboard? So we need you to fill out this part. Also, how do you want the exam to be returned after the student has completed it? If it's a blackboard
0:05:43.597,0:06:00.827
Exam, you would want to select submitted via Blackboard. If you want the student to return the completed exam, you will have to select the option. So you just go through the list and select the appropriate return method. If it is an open book exam, select yes or no, if calculators are allowed. So, these are basically optional fields, and you do not have to.
0:06:03.107,0:06:14.477
Answer them, so it's only the mandatory fields that should be completed. Once that is done, you'd click submit. The testing team and the student will be notified that the.
0:06:16.527,0:06:19.777
Test requests have been approved and if it is denied, they would also be.
0:06:20.707,0:06:24.637
Notified, thank you. And this is the end of the video. Bye for now.
0:00:01.000,0:00:12.000
Hello, everyone. In this video I'll be showing you, as a faculty, how to upload your exams in accommodate.
0:00:12.000,0:00:34.000
Usually when a student submits a test request through our system, as a faculty, you will be notified that your student has submitted a test request to take a test with the student accessibility resources' office. Also, you would be sent reminder emails from the system to upload their exam.
0:00:34.000,0:00:43.000
To upload your exam, you can click on the link in the email which would bring you directly to the faculty page.
0:00:43.000,0:00:53.000
Once you log in. You'll be brought to the home page. It might be different from this which is totally fine. You should see the newsfeed nevertheless.
0:00:53.000,0:01:12.000
All right. To upload the exam first you go to the 'courses and test requests' menu and then you select your course. It's possible as a professor that you see several courses which are the courses that you are taking. So you can either see one to as many classes as you are taking
0:01:12.000,0:01:17.000
In a given semester. Once you select your course.
0:01:17.000,0:01:25.000
You go to the exam tab. Under the exam tab you can upload as many exams as possible for the class.
0:01:25.000,0:01:31.000
depending on how frequently you quiz your students.
0:01:31.000,0:01:45.000
To add a new exam you click the 'add new exam' icon and then you select the title. So I'm uploading the final exam now, the same way you upload final exam is the same way you upload midterm exam or regular quizzes.
0:01:45.000,0:01:51.000
Is there a final exam you need to select yes or no. So this is final exam. So that tells us that it's final exam.
0:01:51.000,0:02:01.000
And also it defaults the length of the exam to the default duration which you have set in the system, which is 110 minutes. If it differs, please let us know.
0:02:01.000,0:02:14.000
Also, if it's not a final exam you click no and then as the faculty you're able to select the time that you're giving the class to compete the test. The reason why we need this information is that it will guide us
0:02:14.000,0:02:30.000
As the SAR team in determining how many minutes the students need in addition to the time you're giving the class based on their approved accommodation. Once that is done you click on upload attachment. So I'm just going to upload my file.
0:02:30.000,0:02:46.000
Once you upload the attachments, then you need to select the start and end dates. Now, the reason for the start and end date is the system uses the start and end dates to map each exam to the student's test request.
0:02:46.000,0:02:51.000
So if a student, for example, books a test request to take a test on the 22nd of April.
0:02:51.000,0:03:11.000
And my start date is, let's say the 21st to the 24th of April. What that means is that the system is going to know that automatically this is the exam for my test that is happening tomorrow. If I have another test that is coming up on the 26th, the systems rather, we will not map this test to my 26th test/exam
0:03:11.000,0:03:30.000
because it is not within the end date range. So that's why we need to start and end it so the system can be able to map each exam to the appropriate test request from the various students.
0:03:30.000,0:03:38.000
All right. So once that is done, you might also want to put in the approved aid if it is a calculation class, for example, you might want to approve calculators.
0:03:38.000,0:03:51.000
If it's an open book exam, you want to select that and also you can leave it blank. So you can go through the approved aids, so that also informs our team of what is approved for the students to use during the test.
0:03:51.000,0:04:08.000
You can skip the dates and the times, they're only applicable if you want students to take your exam on a particular day, at a particular time however you would need to reach out to this testing team if that is what you want so that
0:04:08.000,0:04:27.000
they can advise you on the rights step to take so you can decide to leave the days and the the time range and black, just leave it the way it is. And once you're done you click submit. Now you notice that the apply to all records is defaulted to yes and it's
0:04:27.000,0:04:36.000
A field you cannot change. The reason is because this allows the system to map the uploaded exam to all the students' tests request for all the students taking your class within the time range.
0:04:36.000,0:04:40.000
Once that is done, you click submit and that is how to upload your exam in accommodate.
0:04:40.000,0:04:48.000
Thank you for your time and bye for now.
0:00:00.279,0:00:19.989
Hello everyone, in this video I'll be showing how to access your students accommodation memo. So usually when a student accommodation memo has been generated and it requires your signature more like an acknowledgement, as a faculty, you would receive an email. From the email you can click on the link.
0:00:20.269,0:00:40.749
And then log in as faculty. However, in this video, I will be showing you how to access the student memo from the Student Accessibility Resources website. So first of all, from the Student Accessibility Resources website, you click on Faculty Portal. So you can get this page by clicking on GVSU Faculty and Staff.
0:00:40.799,0:00:47.569
Navigation at the top, so you Scroll down and click on Faculty Portal. From the Faculty Portal page,
0:00:48.309,0:00:55.231
You Scroll down under the quick links and click the "View your Student accommodation memo". The first thing
0:00:55.504,0:01:07.670
The first thing you are going to be asked is "what type of user are you? student or faculty" as a faculty, you'd click faculty. Note that be required to log in with your.
0:01:07.720,0:01:08.710Faculty.
0:01:09.920,0:01:30.010
Credentials, so your username, your password and your two factor authenticator. Once that's done, on your home page you will see your letters to review. So you can go into any of these letters and review them. So I'm going to select the first letter and click review. Once you click review, you'll scroll down, you'll see the information for,
0:01:30.260,0:01:38.830
The student, you'll see their information and then you can read through this before acknowledging it. Once you're done, you'll put in your signature.
0:01:39.740,0:01:46.750
In this case, you can just put in your first name and last name to acknowledge that you have received the memo.
0:01:47.630,0:01:54.480
And then you sign it. so, with Accommodate, you can sign as many letters as possible.
0:01:55.680,0:02:16.010
In a short period of time by just clicking the next icon to move to the next letter. Now it's possible that when you log into the system you may not see the letter. And so to view the letter, you'd click on accommodation letters" menu and then within menu, you'll see the accommodation letters that require your signature.
0:02:16.690,0:02:34.300
Now the onus is on the student to reach out to you as a professor to discuss their accommodation requirements. And this brings us to the end of the video on reviewing and acknowledging students' accommodation letters. Thank you for your time and bye for now.
0:00:00.960,0:00:02.160
Hello everyone.
0:00:02.480,0:00:14.240
In this video, I'll be showing you how to schedule a faculty consultation appointment with the Student Accessibility Resources Office here at Grand Valley State University.
0:00:14.560,0:00:19.920
To begin, you would visit our website, gvsu.edu/accessibility.
0:00:20.320,0:00:29.280
From the homepage, you'd click on the GVSU faculty and staff navigation option, which is just directly below the name of the office.
0:00:30.800,0:00:39.040
Once you click on the GVSU Faculty and Staff option, scroll down on that page and click on the Faculty Portal link.
0:00:40.240,0:00:45.680
The Faculty Portal link will take you to a new page, which is the Faculty Portal page.
0:00:46.080,0:00:55.280
Scroll down on the page and in the Quick Links, select the option Faculty Consultation Accommodation Memo Support.
0:00:55.530,0:01:21.370
Once you click on this, it will take you to a new tab, which is the Microsoft Bookings page. So on this page, you're able to select a time and a date that works for you to be able to meet with a member of staff to discuss accommodations of your various students. All right, so there are two options. You can either select a particular staff if you know who you want to
0:01:22.410,0:01:45.050
meet with. So, let's say for example, I wanted to meet with one of the assistant directors. I can click on the scroll down, the drop down option and then select the name of the staff. Please note that this list will always be updated to reflect the name of the employees that we have in our office. All right. And then if you want to just meet with anybody,
0:01:45.370,0:02:14.330
with probably no person in particular, right? You can just leave the anyone option displayed. Now you might be asking, how would I know who to meet? If you want to discuss a student accommodation memo, right, on the memo you would see the name of the advisor. And so if you know the name of the advisor on the memo, you can select the name of the advisor here. However, if you just want to meet, you know, just probably learn more about how you can support your students, then you're free to leave the anyone option.
0:02:15.210,0:02:39.450
selected. All right, so once that is done, you would scroll down on the page and then you will see a calendar. So the calendar will basically show you the different days in the month and the time available. As of today, being the last day in October, we don't have any appointments available. So I would click on the next month button, which will show me availability for the month of November.
0:02:39.850,0:03:08.250
Now, once I click on November, as you can see, we have several times available on Monday. We have 8 A.M., we have 8.30, and so you can select a time that works for you, a time and date that works for you. All right, so I'm just going to leave it at Monday at 8 A.M., and so you select the time that works for you. Once you've selected the time, once you've selected the time, you scroll down and then provide
0:03:08.730,0:03:30.330
your information. So, for example, you provide your first and last name. After that, you provide your email address. These are both mandatory fields. Then your address, which is optional, so I'm just going to leave it blank. Your phone number.
0:03:36.010,0:04:03.850
Also, if you had any special request, you can actually add it here so that the advisor you'll be meeting with would actually know of this request. And then also there are other optional fields that you can answer. For example, there is the G number of your students. So again, if you're meeting regarding a student's accommodation memo, right, on that memo, the G number will be specified there.
0:04:04.250,0:04:32.610
So, you can provide a G number here. What it does is that it helps the advisor to better prepare for your meeting. And they would also have the student's record pulled up so that you know you save time on the meeting. So but that's an optional field so you are not mandated to enter the student's G number. Then also if you're a faculty member, you click yes on the question, are you a GVSU faculty member?
0:04:32.970,0:05:00.570
If you are not a faculty member, then you have to call the office because this particular form is designed for faculty members. So I'm a faculty member, so I'll click on yes. And then also you need to provide the name of the accessibility advisor on the memo. So I'm going to provide the name of my boss. And so once that is done, you click on the book option, right? Click on the book button. Once you click on it, you would get an email.
0:05:04.410,0:05:25.930
confirming that your session has been booked. And also, again, if you want to reschedule, you have the option to reschedule it. You can also cancel the booking from this page. Also, you can reschedule the meeting and cancel the booking from the email that you've received. And that's the end of this video. If you have any questions, please feel free to reach out to us.
0:05:26.490,0:05:36.050
via our email that's [email protected] or you can call us at 616-331-2490. Thank you and bye for now.
