Approving/Denying Students Test Request

Hello, everyone. In this video I would be
showing you as a faculty how to approve or deny a student's test request.

Usually, when a student submits a test
request with the Student Accessibility Resources'

Office, as a faculty, you would receive
an email. Within that email, there'll be a link to the system which
you can click on that takes you directly to the system where you can
make the approval or denial.

However, in this particular video, I will
be showing you how to access the students request from our website.

From the student accessibility's page,
you would scroll down and click faculty portal.

From the faculty portal, you have
different options under the quick links. To access the student's
request, you'll click 'view student test request'.

You'll be taken to a new tab where you
would have to select if you're a faculty or a student.

As a faculty, you'll click the faculty
option. When you click faculty you'll be required to sign in with your
login credentials.

After which the homepage would be
displayed. Your homepage may be different from this.

Which is totally normal. From the home
page, you click on the 'courses and test requests'. This will bring
you to the course details page, where you would see all your courses.
And then you'll first of all select your course.

So when you select your course you would
see the course details page, test request and the exam tabs.

You click test request to view the test
requests that have been submitted by your students.

By default, it shows you the 'not yet
scheduled' test request tab.

Under the 'not yet scheduled test
request', you'll see test request of your students that have been submitted.

Click on your student's test request and
fill in the information.

So the first thing you have is to
determine if the test request is approved or denied. Based on the
option you select, you would need to provide additional information.

To deny the test request, click 'no' and
then you'll be required to give us some information why you're denying
the test request.

Once you do that you click on 'save' and
the test request denied. The students will get an email automatically.

Once you save it, the test request is
denied. And you can see that the test request has been denied.

However, if you want to approve it, so
I'm just going back to that same test request.

If you want to approve it, you click on
testing request approved and then once you click on approved you need
to go through the request. As a faculty, you can directly upload the
exam from here and we'll be able to see it on our end as student
accessibility resource officers.

So you can click on upload new exam. You
give the exam a title let's say the midterm Is the final exam yes or no?

So let's say it's no. And then you want
to put how long are you giving? So basically, how many minutes are you
giving the class to take this test?

Now this information is useful or
required by our office so that we can be able to determine how many
additional minutes the students would need based on their accommodation.

So let's assume this is a one hour test.
For the class and then once you've selected the duration you upload
the file So I'm just going to upload this file.

So once I upload it, then you put the
start and end date. Now, this is very important for us because it's
possible that you have several students that are taking the same test
at different times.

And so the system is going to match this
exam instruction with the test requests based on the start dates and
the end dates.

So let's say I want these students to
take it between now and this time any test requests that are submitted
by your students within this time frame would automatically use this
exam. So you will not need to repeat the upload process. Also, you can specify

The approved aid, what do you want to be
able to use? Do you want it to be able to use calculators, math
formula or whatever, dependent on the exam And then once that is done,
you click save.

or Submit Request. All right, so I've
submitted the exam. So the SAR team will be able to see the exam and
will be able to administer the exam to the students.

Now, under the student requested
resources, you will see what the student is requesting for.

Fortunately, I'm not requesting for
anything from my faculty, but if the students are requesting for that
then you'll be able to see it here.

And usually we need you to review these
resources and acknowledge that you have reviewed them and you approve them.

Now, once that is done, you need to tell
us, how are you going to deliver the exam? Are you going to upload it
in accommodate? Are you going to email it to us? Are you going to
deliver it to the office?

Or will it be administered through
Blackboard? So we need you to fill out this part.

Also, how do you want the exam to be
returned after the student has completed it? If it's a Blackboard
exam, you want to select submitted via Blackboard.

Blackboard. If you want to see them to
return it, you have to select the option so you just go through the
list and select the appropriate return method. If it's an open book
exam, select yes or no. If calculators are allowed. So these are
basically optional fields and you do not have to answer them.

So it's only the mandatory fields that
should be completed. Once that is done, you click submit.

The testing team and the students will be
notified that the test request has been approved and if it's denied,

How to Upload Exams in Accommodate

Hello, everyone. In this video I'll be
showing you, as a faculty, how to upload your exams in accommodate.

Usually when a student submits a test
request through our system, as a faculty, you will be notified that
your student has submitted a test request to take a test with the
student accessibility resources' office. Also, you would be sent
reminder emails from the system to upload their exam.

To upload your exam, you can click on the
link in the email which would bring you directly to the faculty page.

Once you log in. You'll be brought to the
home page. It might be different from this which is totally fine. You
should see the newsfeed nevertheless.

All right. To upload the exam first you
go to the 'courses and test requests' menu and then you select your
course. It's possible as a professor that you see several courses
which are the courses that you are taking. So you can either see one
to as many classes as you are taking

In a given semester. Once you select your course.

You go to the exam tab. Under the exam
tab you can upload as many exams as possible for the class.

depending on how frequently you quiz your students.

To add a new exam you click the 'add new
exam' icon and then you select the title. So I'm uploading the final
exam now, the same way you upload final exam is the same way you
upload midterm exam or regular quizzes.

Is there a final exam you need to select
yes or no. So this is final exam. So that tells us that it's final exam.

And also it defaults the length of the
exam to the default duration which you have set in the system, which
is 110 minutes. If it differs, please let us know.

Also, if it's not a final exam you click
no and then as the faculty you're able to select the time that you're
giving the class to compete the test. The reason why we need this
information is that it will guide us

As the SAR team in determining how many
minutes the students need in addition to the time you're giving the
class based on their approved accommodation. Once that is done you
click on upload attachment. So I'm just going to upload my file.

Once you upload the attachments, then you
need to select the start and end dates. Now, the reason for the start
and end date is the system uses the start and end dates to map each
exam to the student's test request.

So if a student, for example, books a
test request to take a test on the 22nd of April.

And my start date is, let's say the 21st
to the 24th of April. What that means is that the system is going to
know that automatically this is the exam for my test that is happening
tomorrow. If I have another test that is coming up on the 26th, the
systems rather, we will not map this test to my 26th test/exam

because it is not within the end date
range. So that's why we need to start and end it so the system can be
able to map each exam to the appropriate test request from the various students.

All right. So once that is done, you
might also want to put in the approved aid if it is a calculation
class, for example, you might want to approve calculators.

If it's an open book exam, you want to
select that and also you can leave it blank. So you can go through the
approved aids, so that also informs our team of what is approved for
the students to use during the test.

You can skip the dates and the times,
they're only applicable if you want students to take your exam on a
particular day, at a particular time however you would need to reach
out to this testing team if that is what you want so that

they can advise you on the rights step to
take so you can decide to leave the days and the the time range and
black, just leave it the way it is. And once you're done you click
submit. Now you notice that the apply to all records is defaulted to

because this allows the system to map the uploaded exam to all the
students' tests request for all the students taking your class within
the time range.

How to Sign Student Accommodation Memo

Hello, everyone. In this video, I'll be
showing how to access your student's accommodation memo.

So usually when a student accommodation
memo has been generated and it requires your signature more like an
acknowledgement, as a faculty, you would receive an email. From the
email you can click on the link and then log in as faculty.

However, in this video I'll be showing
you how to access the student memo from the Student Accessibility
Resources' websites.

So first of all, from the Student
Accessibility Resources website, you click 'faculty portal'. Once you
click on faculty portal, you scroll down and then click from the quick
link, 'view your student accommodation memo'.

The first thing you're going to be asked
in the new tab is 'what type of user are yuoy? student or faculty?' As
a faculty, you click on 'faculty'. Note that you would be required to
log in with your faculty credentials so your username your password

Once that's done on your homepage, you
will see your letters to review.

So you can go into any of these letters
and review them.

So I'm going to select the first letter
and click review. Once you click review you scroll down you'll see the
information for the student. You see their information and then you
can read through this before acknowledging it once you're done you
type in your signature.

In this case you can just type in your
first name and last name to acknowledge that you have received the memo.

And then you sign it. With Accommodate,
you can sign as many letters as possible.

Now, it's possible that when you log into
the system, you might not see the letter. And so to view the letters,
you click on 'accommodation letters menu'

accommodation letters that require your signature.

Now the onus is on the students to reach
out to you as a professor to discuss their accommodation requirements.
