Additional Licenses (Webinar, Zoom Room, Large Meeting, etc.)

Additional License Policy

If you are interested in purchasing an additional license for Zoom (Webinar, Zoom Room, Large Meeting, etc.):

  • From now through June 30, 2024

    • GVSU can manage the additional licenses through the GVSU Zoom account. 

    • Email [email protected] and GVSU will work with you to gather all the information, purchase the license from Zoom, and apply the license to the GVSU account. 

    • Your department will be charged each fiscal year until the Zoom contract expiration (June 30, 2024). 

    • You do not have the option to remove the additional license from the time of purchase through June 30, 2024. If you choose to not use the license, your department will still be charged through June 30, 2024.

  • On a monthly basis or less than now through June 30, 2024:

    • Example: Purchase a webinar license January, remove the license February-March, and purchase a webinar license in April.

    • GVSU cannot manage these additional "short term" licenses through GVSU's Zoom account at the moment. 

    • Please email [email protected]. They will work with you to create a generic account so you can use that account to create your own private Zoom account with the additional license(s) you need. This will give you the ability to manage the license(s) individually and turn the license(s) on and off as needed. Note that you will also need to budget and purchase the standard Zoom license (~$14.99/month) on top of the price for the additional Zoom license(s). 

      • Generic accounts need to be used moving forward as personal GVSU accounts will be tied to Zoom Phone in the future and cannot be disconnected from GVSU's Zoom license. 

    • Before making purchases on your department's pcard, you will first need to email [email protected] for approval.

Annual Webinar License

  • If you are interested in purchasing a webinar license from now through June 30, 2024, please email [email protected] the following information:

    • What account(s) will need the webinar license(s)? (Note that 1 license is needed per account)
    • What participant limit do you need for your webinar license? 100, 500, 1,000, 3,000, 5,000, or 10,000?
    • What is your FOAP so we can charge your department yearly for the cost?
      • Note that you will be charged each fiscal year until the current contract with Zoom has expired (June 30, 2024). 
  •  Once all the information is gathered, we will reach out to the Zoom Sale's department and buy the webinar license(s) to get setup under the appropriate account(s). Please expect this process to take about 1 week.
