Job Summary

Serves as Administrative Coordinator for the Muskegon Innovation Hub. Reports to the Director.

Essential Functions

  • Provide support to the Director and other staff, including organization and archival of paperwork, scheduling, and managing of calendars, generation of reports and other correspondence, event planning and coordination, coordination of shipments to the Hub, acquisition of office supplies, meeting minutes, and making conference and travel arrangements.
  • Monitor and maintain financial information for organization, including reconciliation of the budget, departmental purchasing card documentation, invoicing, and processing of credit card and check payments from tenants and clients.
  • Interact with clients and customers of the Hub to deliver a positive experience and fully meet their expectations. Provide facility tours and other facility walk-throughs with potential and current clients and various community groups as necessary.
  • Work efficiently and effectively with various GVSU and Hub IT systems and databases. (OnBase, Banner, Web site updates, etc.).
  • Develops and coordinates correspondence, reports, and materials for publication.
  • Compile and format statistical reports to support Hub operations and/or grant reporting requirements.
  • Assist with grant reporting, record keeping, and billing.
  • Assist with the hiring and coaching of student and part-time employees.
  • Utilize social media to improve customer and community engagement.
  • Other related duties as assigned.

Non-Essential Functions

  • Lead small projects, such as event planning, including responsibility for project planning and monitoring progress.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience to successfully organize and prioritize workload.
  • Demonstrated experience to successfully navigate challenging situations in the workplace, while using good judgement.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Bachelor’s degree.
  • Higher education work experience.
  • Work experience as a social media manager or similar.

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated.  Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
