Job Summary

Provide accounting support for Information Technology (IT) Department and maintain accurate accounting records for IT institutional budget accounts. Coordinate and perform clerical duties to maintain efficient operation of the Department of Information Technology. Supervision of student employees.

Essential Functions

  • Provides support to the Information Technology department; including answering of phones; scheduling meetings for all IT staff; send out notifications with GVSU employees and follow up to ensure return of technology equipment; coordination of IT projects; maintain office supply inventory; coordinate specific events and office events for all IT staff.
  • Maintains and analyzes multiple, complex IT budget accounts within Banner by: reconciling, monitoring, making and tracking expenditures, preparing statements regarding the status of accounts. Investigates discrepancies and makes appropriate adjustments.
  • Alerts the Director to areas of budget concerns.
  • Responsible for on-line requisitioning for Information Technology Department. 
  • Responsible for Pcard security and reconciling along with monthly reports.
  • Prepare quarterly IT Newsletter.
  • Communicates with vendors to obtain quotes, place orders and reconcile differences as needed.
  • Assist Director with preparation of projected budgets for yearly IT budget presentation.
  • Run weekly reports in Argos and/or Banner on expenditures for Director of IT.
  • Coordinate interviews for prospective IT employees and new hire processes (keys, business cards, name plate, etc.)
  • Maintain and schedule calendar appointments for Director of IT.
  • Provisioning and troubleshooting GVSU issued cell phones. Must be familiar with both iOS and Android platforms.
  • Liaison with Verizon Wireless for GVSU cell phone issues.
  • Responsible for telephone switchboard operations including how to operate and train student employees.
  • Scheduling meetings for all IT staff with other constituents.
  • Coordinate and schedule dates for eLearn seminars with various instructors: reserve rooms, enter seminar data into the registration system, monitor seminar registrations, collect survey data and send weekly seminar reminders.
  • Respond to questions/complaints and resolves problems which may require knowledge and interpretation of university and Information Technology policies and procedures.
  • Coordinate hiring process for undergrad and graduate student employees for IT department. Post new positions, enter new hires, and track status of current student hires for correct wage classifications.
  • Review helpdesk ticket system to assist in service level agreements.
  • Performs duties characteristic of lower-level clerical office classifications as required.
  • Carries out daily job responsibilities and works independently without supervision.
  • Other related duties as assigned.

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.

Preferred Qualifications

  • Budget experience with Banner Finance system.
  • Onbase experience with Accounts Payables processes.
  • Higher education work experience.
  • Supervisory experience.

Supervision Received

Receives minimal supervision from a designated supervisor. Much of the work is self-initiated. Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
