Job Summary

Responsible for providing management of front desk; assisting individuals both in person and on the phone, providing administrative support for the Career Center service area, managing and approving employer requests in Handshake, and overseeing student staff. This is a 30 hour per week position.

Essential Functions

  • Provide exceptional customer service and administrative support for the Pew Career Center which includes answering telephones, providing information, or routing calls to appropriate person; open and route incoming email/mail.
  • Collaborate with Operations Team to recruit, train, and supervise student staff; and ensure processes and procedures are cohesive and unified between the Allendale and Pew Career Center offices.
  • Performs general administrative duties such as updating documents and spreadsheets, taking meeting minutes, filing, copying, answering telephone, ordering supplies or brochures, etc.
  • Provide support for University Counseling Center appointments and Assistant Dean of Students- Pew Campus.
  • Manage and monitor voice mails and answering service; update messages on voice mail and email auto response.
  • Responsible for ordering office supplies and maintaining order in supply closest; process requisitions, IDCs, and various university forms.
  • Monitor dining card usage and receipts.
  • Review and manage employer requests and job postings in Handshake.
  • Work with employer team in the dissemination of First Destination Survey.
  • Schedule appointments for Career Center staff using Handshake and/or Outlook.
  • Other duties as assigned.

Non-Essential Functions

  • Manage Career Center office spaces, conference rooms, and tabling spaces.
  • Coordinate with GVSU Conference and Event Services for on-campus events and programs by reserving rooms, ordering AV equipment, food, and assisting with hosting the functions.
  • Assist in planning and promoting major annual events and programs such as Fall and Winter Career Fairs.
  • Occasional travel to Allendale for meetings and/or trainings.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of two years relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Ability to operate office equipment.
  • Data entry experience.
  • Typing and spelling competency.
  • Possess strong verbal and written communication skills.
  • Ability to provide quality customer service.
  • Ability to work under pressure and meet deadlines.
  • Ability to maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

Preferred Qualifications

  • Some college education, bachelor's degree.
  • Willingness to learn other software packages, as they become available.
  • Experience supervising and training student staff.

Supervision Received

Receives supervision and work assignments from a designated supervisor, although other staff members in the unit may provide work direction.

Supervision Exercised

May be responsible for the coordination of work assignments for student employees.
