2024-2025 RA Contract Exception Request Form

The RA Position is contingent on full attendance and participation in all training sessions (Pre-Employment, Fall, Winter, Inservice, etc.) and scheduled in-area staff meetings. There are, however, instances in which an academic, co-curricular, family or personal obligation may impede the RA’s ability to participate in training or attend scheduled meetings. As full attendance is stated in the RA contract, an RA Contract Exception Form must be submitted for an absence to be deemed excused. 

Training Absence Policy

Requests to miss Pre-Employment Training, Fall Training, Winter Training or Inservices must be submitted at least two weeks in advance via the #GVSURA website. The Absence Request Form may be found under the #GVSURA drop-down menu. Requests must include a detailed reason for absence as well as the associated date(s) and time(s) for the absence. These requests will be reviewed by the Residence Life Leadership Team weekly. Requests must be received at least two weeks in advance and approval is not guaranteed. As academic commitments take precedence over RA requirements, requests to miss training due to class attendance and associated mandatory course requirements will be approved and will not count as an occurrence. Requests for non-academic commitments will be reviewed and approved or denied on an individual basis. If approved, the absence will be recorded and counted as 1 occurrence. An RA will be approved for no more than 2 occurrences in a given contract term. Requests related to internships or contributions to the University will take priority over requests related to personal commitments. RAs are responsible for all missed time and content, and expected to coordinate a plan in advance with supervisors and colleagues. Should a request for absence be denied, the RA is expected to participate in training as scheduled. Failure to attend a training session without approval will result in disciplinary action.

Staff Meeting Absence Policy

Requests to miss a staff meeting must be submitted in writing to the LCD and ALCD to be reviewed on a case by case basis. Requests approved for reasons other than academic commitments will be recorded and counted as one occurrence. An RA will be approved for no more than 2 occurrences in a given contract term. Requests related to internships or contributions to the University will take priority over requests related to commitments outside of the University. Should a request for absence be denied, the RA is expected to attend the staff meeting as scheduled. Failure to attend a staff meeting without approval will result in disciplinary action.

  • Move In & Welcome Week Responsibilities Request Deadline: August 7, 2024
  • September Inservice Absence Request Deadline: September 13, 2024 
  • October Inservice Absence Request Deadline: October 11, 2024
  • November Inservice Absence Request Deadline: November 8, 2024
  • Winter Training Absence Request Deadline: December 20, 2024
  • February Inservice Absence Request Deadline: February 7, 2025
  • March Inservice & Pre-employment Training Absence Request Deadline: March 14, 2025
