Policy for Van rental and Student Travel

 

Vehicle Reservation Form Student Behavioral Contract Student Travel Release

The Brooks College encourages experiences that engage students in interdisciplinary learning by attending conferences, special events and field experiences. The following policies are in palce to help ensure safe travel and to remind students that they represent and showcase the integrity of Grand Valley State University when they travel.

 

Policy

1. A faculty member must be the responsible party for the van rental. If you need to rent a vehicle through a car rental agency Facilities Customer Service can assist you. To reserve a vehicle please complete the Vehicle Reservation Form, and send it to Customer Service (email servicef@gvsu.edu or fax to 331-3841) at least 10 business days prior to the trip. All reservations are subject to vehicle availability. If you have any questions please contact Customer Service at 331-3000.

To reserve a vehicle please complete the University Motor Pool Vehicle Reservation Form, and send via email to holstegm@gvsu.edu or fax 331-3841 to Facilities Services at least 10 business days prior to the trip. All reservations are subject to vehicle availability.

2. If a student will also be driving the vehicle (this is not encouraged):

- the student MUST be at least 21 years of age

- must submit their drivers license to Public Safety for a points check

 

3. Anyone driving the van must complete the on-line tutorial for driving University vehicles. Click here to access the tutorial (coming soon).

 

Faculty

Have your students complete a Behavioral Contract prior to leaving on a trip. This helps to clarify the responsibility and accountability of the student for their own actions.

Have the students complete the Travel Release form, which indicates that the University is not responsible for adverse events that may happen as a result of the voluntary travel.

Students should also be made aware that if they choose to travel with their own vehicle, they assume all risks associated with that travel. If they are in an accident, their insurance would be assuming responsibility (not GVSU).
