Job Summary

This position requires a broad-based knowledge of Development’s fundraising principles and techniques and how each unit within Development relates to the VP office in this aspect. The employee must also be knowledgeable of the major donors and prospects and what interaction the Development Division is currently having or has had with them. The employee must have an understanding of the fundamentals in each function of the Development Division in order to fully support the activities of the Division. In addition, it requires knowledge on how each Division in the University works with Development.

Essential Functions

  • Provides support for communications and development services teams and projects.
  • Assists with project management on individual communication projects ranging from print, to electronic and multi-media.
  • Assists with coordination of mailing lists and data.
  • Assists with the overall coordination and organization of project requests and status reporting for both teams.
  • Assists in the establishment and documentation of processing policies and procedures.
  • Acts as a liaison with inside and outside contacts in preparing meeting materials, minutes, project updates, and other support functions.
  • Communicates and maintains relationships with vendors overseeing quality and project management.
  • Coordinates projects according to the specifications and deadlines of internal customers.
  • Primary calendar coordination for the AVP of Development Services, the Director of Systems and Training, the Senior Director of Communications, Assistant Director of Communications, and Production Manager which includes travel reservations/accommodations, meetings and conference room arrangements as requested.
  • Disseminates information that may require explanation and interpretation of departmental policies and procedures to donors, faculty, staff, community members and alumni.
  • Generates reports, memoranda, correspondence, presentation materials and compiles data for standard and requested reports into logical format using available computer software.
  • Receives information and requests from diverse publics, both internal and external to the University, and determines the appropriate way to handle.
  • Develops, prepares, proofreads and/or composes correspondence requiring excellent judgment and discretion, routinely edits materials for internal and external communications.
  • Maintains confidentiality of donor information.
  • Responsible for creating, maintaining, and updating files and record keeping systems; paper and/or computerized.
  • Share in clerical/administrative support for the Development Department including answering telephones and taking accurate messages for members of the department as needed.

Required Qualifications

  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Demonstrated experience to successfully work under pressure and meet deadlines. 
  • Demonstrated experience to successfully maintain positive intercultural and interpersonal relationships.
  • Demonstrated experience to successfully operate office equipment.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Possess strong verbal and written communication skills.
  • Typing and spelling competency.
  • Demonstrated experience to successfully to use various computer software applications.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully perform mathematical calculations with speed and accuracy.
  • Excellent grammar and proofreading skills.

Preferred Qualifications

  • Some college course work.
  • Higher education experience.
  • Supervisory experience.

Supervision Received

Receives general instruction from a designated supervisor, but is generally expected to work independently.

Supervision Exercised

Hire, train, supervise, schedule and coordinate the work of student employees and may act as lead worker to other PSS staff members within the department/unit/division.
