Human Resources New Hire Tasks

As you prepare for your employment with Grand Valley State University, we want to provide you with information on your virtual Benefit Orientation and other important information needed to complete a successful transition to GVSU. In mid-July you will be emailed a benefit packet.  This packet contains important information on the benefits that are available to you as a new faculty member.  We also encourage you to visit our Benefits and Wellness website for additional information.  Information on key benefits will be highlighted on the second day of New Faculty Orientation on Thursday, August 10, 2023 and members of the Human Resources team will be available to answer your questions.

IMPORTANT DATES AND ITEMS TO REMEMBER:

• Access to the online benefits enrollment system, eBenefits, will open on August 6, 2023.
• Your selected benefits will be effective retroactively to August 6, 2023.
• You will receive your first paycheck on August 31, 2023.
• Retirement plan investment representatives from TIAA and Fidelity are available for one-on-one appointments.  Please go to the Retirement Planning section of our website for upcoming meeting dates.  They will also be available on the second day of New Faculty Orientation on Thursday, August 10, 2023.
• Complete your I9 and your Faculty Oath—these forms are required.  These forms must be completed at your earliest convenience and prior to the first day of class.  Representatives from the Human Resources Office will be available on the second day of New Faculty Orientation on Thursday, August 10, 2023 to verify documents for the I-9 and notarize the faculty oath. 
• Complete your Pay option form by August 11, 2023.  After this day, you will default to the 9-month pay option.

ADDITIONAL POINTS TO CONSIDER:

• Faculty/Staff Picture IDs can be obtained at the Registrar's Office, located at 150 Student Services on the Allendale Campus, or 115C DeVos on the Pew Grand Rapids Campus.
• Direct Deposit information can be completed on line via the Payroll Office website.
• Tax Forms must be completed and returned to the Payroll Office. An employee from the Payroll team will be available on the second day of New Faculty Orientation on Thursday, August 10, 2023 to collect tax forms.
• Use your new home address, if available, on all forms.
• Complete online benefits enrollment on or after August 6, 2023.
  • Enrollment can be completed anytime within the first 30 days of hire.

Network Login to Access Technology

To make sure you can access your GVSU email, Blackboard (classroom management system) and Banner (student information system) during the IT sessions, please be sure to complete the following items by August 6. You will not be issued a GVSU ID number or network login (required to access all GVSU technology) if these forms are not completed.

• Return your signed contract
• Complete the required payroll forms (W-2 and I-9)
