Weekly Mailing to TT, AFF, VIS, AP, PSS in CLAS

Dear colleagues:

We at GVSU have an historic opportunity to contribute to our community’s COVID-19 vaccination effort. In partnership with Kent County, Spectrum Health, Mercy Health and other community institutions, we are working to mobilize hundreds of volunteers to support the West MI Vaccination Clinic, located at DeVos Place (see attached press release). We need your help to mobilize Lakers for this “all hands on deck” effort. Please share this information widely and encourage your colleagues and students to participate!

(Here’s some really good news: Those who volunteer for 20 hours are eligible to receive the vaccine!)

Thank you for your partnership!

Melissa Baker-Boosamra

  1. Update on Strategic Planning

Website for CLAS Strategic Planning

Website for University Planning (Reach Higher 2025)

Last week 34 unit heads, directors, and faculty and staff from the CLAS Dean’s Office participated in a visioning conversation. Three units and the College Personnel Committee are scheduled to take part this week. The First meeting of the Strategy and Innovation Group will be on Friday afternoon.

Total CLAS Faculty/Staff who have participated: 46

2. Who’s on first?

We are always willing to triage what comes in on [email protected], but we can serve you more quickly when you email the relevant person directly.

  • Grade change forms go to Mona.

  • Late adds go to AD Betty Schaner.  Student situations have become more complex during the pandemic so Betty is handling these directly.

  • Anything pertaining to the CLAS website goes to Monica.

  • Roxanne Mol is on leave and retiring on April 1.

We are making tweaks to the CLAS website to make this as clear as possible.

3.  Advising Tips

Registration Holds for Student Athletes – now that the drop/add period has ended, a registration hold has been placed on all student athlete accounts. This is to help with NCAA compliance and to make sure that the students are appropriately advised by their athletic advisor before making any changes to their Winter 2021 schedule. If you are contacted by a student athlete regarding their winter schedule, please refer them to the Laker Academic Success Center at (616) 331-5272 for assistance. The registration hold will be removed just prior to the start of registration for the upcoming academic year.

The Navigate Platform can be used to identify your advisees that are also student athletes – here are the steps to follow:

  • Select the Advanced Search option from the tools pictured on the left side of the screen (magnifying glass icon) – this pulls up a list of search filters you can use to find specific groups of students

  • Click on Student Information

  • In the Category box, type Athlete and hit enter.

  • Scroll down the screen to Assigned To

  • In the Relationship box, select Major 1 Advisor (you can run additional lists based on the different advising roles you may have)

  • Under Staff – select your name from the drop-down list

  • Click Search

You will then see a list of all your assigned advisees that are also student athletes. The specific sport and other category information is listed on the right side of the page. You can export this list to excel by clicking the “actions” tab at the top and select “export results”. Please be cautious about saving the list and practice all FERPA guidelines.

If you have additional questions or would like more information on the Navigate platform, please contact AD Schaner.

TT Faculty

5. TT Colleagues – Please nominate for our Governance elections before the end of the week!

Please note the following important information regarding our upcoming governance elections:

Nominations: Monday, January 25 – Monday, Feb. 8, 2021

CLAS Election: Monday, February 15 - Monday, February 22.

There will be two bylaws documents included on the ballot this year.  These are vital to CLAS governance and need your vote.  We on Faculty Council have approved the changes to these documents as your elected representatives; we recommend a positive vote.  The changes to the bylaws are for operational and linguistic clarity. None of the language adjustments change the nature, or spirit, of the original bylaws.  The ballot will link to the revised bylaws. We are not asking for comparative review, however the old bylaws are posted on the site should you choose to compare. This ballot asks for your approval of the bylaws as we present them. Please note that this is Faculty Council doing their work for you to help CLAS Governance operate as efficiently as possible.  The revisions have been a multi-year task of several Faculty Council rosters. There are no committee role changes or assignment revisions involved.

Two Examples of revisions: 1. It has been the longstanding practice of CLAS to refer to the administrative leader of CLAS committees as Chair of the committee.  The original CFC Bylaws refer to the administrative leader as the Secretary. The new bylaws have been updated to reflect the common practice usage of the term Chair.  2. The election dates outlined in the CLAS Governance Bylaws have been revised for improved efficiency.

8. Your Unit’s Representation in Governance

A review by the unit head of those continuing to serve and those from your unit whose terms are ending has often enabled units to continue to have the desired level of representation on CLAS and University Committees.  This roster has current representation as well as the year each term ends.

9. Facilities requests

March 31: Minor facilities requests for Summer 2021 – minor furniture changes, whiteboards, small projects to be funded by the department.  Submit directly to George McBane ([email protected]).  Prior discussion to establish feasibility, cost, etc. recommended.
