Withdrawal and Refund Policies

Withdrawing from a Program

If you need to withdraw from your program, it is very important that you do so via the Study Abroad Application Portal (Via TRM) and contact the PIC as quickly as possible. The following is the "Withdrawal" portion of the risks/releases form from the Via TRM application:

I understand that I may be held accountable for the entire cost of the program once I have been accepted to participate by the Padnos International Center and/or host institution. I understand that submitting this application is agreement to enroll in the study abroad program for the semester/year for which I am applying. To withdraw from the program or defer enrollment, I must notify the Padnos International Center and the host institution or organization in writing. I understand that it is my responsibility to review all refund policies associated with my program. In the event that I notify the Padnos International Center in writing of my intent to cancel my participation or withdraw for reasons beyond my control, I understand that I will forfeit my application deposit and I will remain responsible for all unrecoverable program costs incurred on my behalf. I understand that I am responsible for any and all costs arising from voluntary or involuntary withdrawal or dismissal from the program prior to its completion, including withdrawal caused by illness or disciplinary action. Merit scholarships and financial aid may not be used to cover charges arising from a student's failure to participate in a study abroad program. Financial aid recipients who withdraw from their program after arrival in the host country are subject to the federal refund requirements.

Refund Policies

Students who are not accepted into the program, or whose program is canceled, will be refunded the $100 deposit paid at the time of the application. For all other students, the deposit is non-refundable. Students who withdraw from a program are responsible for all unrecoverable amounts. This includes money paid on the student's behalf for flights, excursions, payments to host institutions, and more.

 

Faculty-led

Program fee

An “accepted” study abroad application obligates you to accept financial responsibility for program costs resulting in arrangements made on your behalf (i.e. flight, housing, in-country transportation, excursions, etc.) Faculty directors begin making flight arrangements and in-country arrangements soon after students are accepted. Many arrangements require GVSU to pay non-refundable deposits. If you decide at any time that you are not going to participate in the program, you must notify the Padnos International Center (PIC) in writing immediately, so that your financial obligations do not increase even further. If you choose to withdraw your study abroad application, you will forfeit your $100 deposit AND be responsible for any non-recoverable costs, which can be up to the full amount of the program fee. Withdraw notice can be made online through your Via TRM account or by emailing both Kirsten Bartels at: [email protected] AND [email protected].

Tuition

Students paying tuition to GVSU will be subject to the same tuition payment and refund schedule as if the course was taken on-campus. For additional information, visit: https://www.gvsu.edu/studentaccounts/

Partner Programs

Program fees

Most partnership programs do not require a program fee. For those programs requiring a program fee to be paid, refund policies vary. A detailed list of programs and withdraw and refund deadlines can be found here.

Tuition

Students who participate in a GVSU partnership program are typically expected to pay tuition to GVSU*. Students paying tuition to GVSU will be subject to the same tuition payment and refund schedule as if the course was taken on-campus.

(*Exceptions include: Japan Center for MI Universities, John Cabot University, and University of Deusto’s CIDE program).

Students who withdraw their study abroad application for any reason will forfeit the $105 deposit.

IS 380 Course Fee

Students who submit written notice of their intent to withdraw from study abroad by the first Friday of GVSU’s semester will receive a refund of the IS 380 course fee. Students who submit written notice of withdraw from study abroad after the first Friday of the semester will not be eligible for a refund of the IS 380 course fee.

External Programs

Program Fees (& tuition)

Students should be informed of the refund policies associated with their host university or study abroad provider. Many host organizations or study abroad providers have non-refundable deposits, and/or may have other financial penalties associated with a student’s withdraw from a program. We recommend students carefully research refund policies before finalizing an application to study abroad.
