Grand Valley State University Policy on Voicemail

Department main numbers and widely published phone numbers are "must-answer lines" and will not be assigned Voice Mail. These numbers are always to be answered by a person.

A department main number is never forwarded to a Voice Mail box.

All greetings are to be personalized and changed when users intend to be out of the office for more than one day, especially if they do not intend to check Voice Mail.

Users are to provide the caller with an alternative persons name and telephone number to contact if they are going to be gone for any length of time.

Voice Mail users are to respond to messages within one business day unless they are on vacation.

Unit heads should monitor Voice Mail greetings when the initial installation is made and on a regular basis thereafter.

Vice President approval is required for COT personnel to have Voice Mail installed.

To activate Voice Mail:

  • Faculty/AP require management approval;
  • all others require VP approval.

Voice Mail costs: one time installation fee of $50.

  • No charge for deletions or name changes.
