JOB TITLE:  Library Specialist, Curriculum Materials Lib.


Job summary

Coordinates the operation of the Universitys two Curriculum Materials Libraries (each with a curriculum lab and materials production center). This position has primary responsibility for all programs, polices and procedures and for staffing the CML during all operating hours (currently 123 hours per week combined.)

Primary duties (Scope of Work)

  • Coordinates the universitys two Curriculum Materials Libraries, implementing procedures and policies to provide effective customer service in CMLs; primary authority for the daily operations of the Allendale and DeVos locations
  • Consults with faculty to plan and obtain materials needed for instruction; operates a production center for teachers
  • Provides training and one-on-one instruction for students in locating and using materials for assignments and projects; provides informational tours of CMLs for College of Education and content area classes
  • Directs, refers and handles transactions with students, faculty, staff, administrators and members of the off-campus community; enforces a tiered pricing structure for CML services offered to the GVSU community and to the public
  • Coaches CML staff and student employees in communicating with clarity and tact and models appropriate behavior when dealing with the public
  • Works with the Education Librarian to develop collection, to develop and maintain web site, devise programs, and select equipment and supplies
  • Consults with Director of User Services to establish and modify CMLs operational issues and services
  • Responsible for all CML money transactions, including encumbrances, fines, and fees for supplies and service; works with other university departments to ensure that IDCs are properly assigned; exercises discretion in reconciliation of patron account discrepancies
  • Maintains inventory for both CMLs; contacts outside vendors to establish availability and pricing; orders, receives and processes needed supplies
  • Monitors and reconciles CMLs consumable budget
  • Hires, trains, and schedules student employees at both CMLs and supervises their work
  • Monitors and maintains equipment unique to the CML, including laminators, binders, transparency makers, two-color and full-color poster printers; trains and assists patrons on use of the equipment
  • Compiles and maintains curriculum materials procedures manual to standardize policy between the two CML locations

Minimum Required Qualifications

  • Ability to work productively with faculty during periods of extremely high demand and pressure throughout the semester
  • Ability to function as lead expert in a critical service (CML) area offered on two campuses
  • Ability to maintain positive interpersonal relationships with diverse populations
  • Ability to work both independently and collaboratively
  • Ability to prioritize multiple demands in a fast-paced work environment while delivering exemplary customer service
  • Ability to manage staff assigned to unit
  • Ability to use discretion and judgment in interpreting polices and applying procedures
  • Ability to communicate clearly and tactfully
  • Possess strong verbal and written communication skills
  • Possess strong skills with computer interfaces
  • Minimum of 4 years related work experience and/or relevant training
  • High school graduate

Desired Qualifications

  • Supervisory experience preferred
  • Bachelors degree preferred
  • Background in K-12 curriculum
  • Experience with an integrated library system (Voyager preferred)

Supervision Received

Works autonomously between two campuses, with minimal supervision by Director of User Services. Usually interprets library and University policies and guidelines with little or no assistance.

Supervision Exercised

Coordinates work of COT staff at all CML locations, and advises them on matters of policy and procedure. Hires, trains, and supervises student workers for both locations.
