Job summary

Assists with the work of the Government Documents department, receiving, processing and maintaining the Federal Depository Collection, manages the acquisition and processing of the University Libraries annual reports collection, and assists in Course Reserve and Document Delivery as needed.

Primary duties (Scope of Work)

Government Documents

  • Primary responsibility for the cataloging of the microfiche and online government publications and assists in the receiving, processing, copy cataloging and maintenance of all government publications received through the Federal Depository Library Program (FDLP) in accordance with depository guidelines.
  • Interprets and complies with federal and state policies and regulations pursuant to depository libraries; tracks and details internal procedures as mandated by depository guidelines
  • Responsible for the processing and maintaining the Business, Regional and Nonprofit Annual Reports collection; receives and processes new reports received by the Libraries and maintains and updates records in the library catalog for online reports
  • Communicates with corporations and agencies to manage the ongoing receipt of annual reports
  • Manages the binding of the depository collection, including the identification of items needing binding, updating records in the library catalog, processing the bindery paperwork and quality control for newly bound items
  • Responsible for accuracy and completeness of government documents records in the librarys online catalog, including selecting and importing records from an international bibliographic database, updating holdings records and enhancing existing bibliographic records to increase user access, which may include adding links to online government resources
  • Works on retrospective cataloging projects to provide enhanced access to rare and older government publications
  • Communicates regularly with the U.S. Government Printing Office and vendors to acquire items not sent to the University Libraries and to resolve any acquisition and processing issues
  • Provides basic reference assistance for the government documents collection, which may include working at the reference desk

Document Delivery & Course Reserve

  • Employs a suite of software to provide rapid electronic desktop delivery to University students, faculty, and staff by manipulating, digitizing, and reformatting library materials
  • Processes items that are to be returned to lending libraries 
  • Prepares reserve materials for electronic access, using a suite of software and hardware

  • Ability to successfully work under pressure on multiple projects and in multiple departments
  • Ability to use discretion and judgment in interpreting polices and applying procedures
  • Ability to communicate clearly and tactfully
  • Possess strong verbal and written communication skills
  • Possess strong skills with computer interfaces
  • Minimum of 2 years related work experience and/or relevant training
  • High school graduate

Desired Qualifications

  • Bachelors degree preferred
  • Cataloging experience preferred
  • Knowledge of and experience with Federal Depository Library guidelines preferred

Supervision Received

Supervised by a designated manager, but is expected to work independently and apply appropriate policies and procedures within the assigned area of responsibility

Coordinate the work of student employees within the department. May have limited supervision of departmental projects.
