1.                Duties and Authority of the Unit Head Document (attachment)

Earlier in the fall semester, Deans Council had the opportunity to review a 1983 document, Duties and Authority of the Unit Head, and to offer input into current process and practice.  An edited version of that document is attached.

 

Kristine Mullendore, Chair of ECS/UAS, has asked that Deans share this document with unit heads for their input on the accuracy of current practice and process.  Unit Head comments, suggestions, and questions are to be sent directly to Kris at mullendk@gvsu.edu by Wednesday, March 11 so ECS can continue to move the document through the academic governance process.

2.                Use of Gift Certificates

The accounting business office reminds faculty and staff that purchasing gift cards (ARA or bookstore) as "payment" for various student services is not an appropriate use of University resources.  Re-imbursement for services is taxable income and therefore needs to be tracked. Please refer to IRS publication http://www.irs.gov/pub/irs-pdf/p525.pdf  see page 5 for the actual reference about gift cards.  It is under De Minimis Benefits and then Holiday gifts.

 

3.                Applications being accepted for Graduate Assistantships- Special Projects (attachment)

We sent the following announcement to graduate program directors, department chairs, and various GA supervisors. Please help us reach everyone that might be eligible to receive funding for a Special Projects Graduate Assistantship:

 

The Office of Graduate Studies and Grants Administration is accepting applications for funding for Special Projects Graduate Assistantships for the 2009-10 academic year. Guidelines and details on how to request a position are attached.

 

Please note that requests must be submitted to the Office of Graduate Studies & Grants Administration no later than the end of the business day on March 24, 2009.

 

Dean Kimboko will review all requests and you will be notified via email on or before March 31, 2009.

 

If you are selected to receive funding, you may begin the interview and selection process immediately after you are notified. The deadline for AY 09-10 appointments is July 24th in the Graduate Studies office.

 

The guidelines and GA appointment forms will be available on our website shortly .

 

4.                 Important Notice for those who received funding from the Graduate Studies Office in 2008-09

Please submit a Progress Report as requested in the original award notice.(one to two paragraphs), describing the academic progress of the student, and the contributions made by the graduate assistant(s) toward the goals outlined in your original position description.  Indicate whether or not this assistantship has contributed significantly to the academic knowledge and related professional skills of the student, and the significance of the student’s contribution to the project or activity in which they were engaged.  In other words, how did this assistantship further the educational purposes of the assistantship and/or build on or advance the skills of the student?  How did the graduate assistant contribute to your successful achievement of the stated goals of the position? No new funding will be offered until this report is on file.

 

If you know of anyone who should receive this notification but is not on the mailing list, do feel free to forward this email to them.
